The incumbent of this position serves as Program Support to the Altoona VAMC Facilities Service. This position reports directly to Facilities Supervisory Administrative Specialist. The incumbent completes and coordinates a wide variety of administrative and clerical tasks essential to the administration of the departments.

Duties

Major duties and responsibilities include but are not limited to: Performs all clerical support duties for department. Maintains calendars of meetings, conference calls and other various scheduled activities. Performs all Timekeeping functions for the service via VATAS. Submits and assigns Facilities work orders though AEMS/MERS. Assists in composing responses to service action items. Meets deadlines by submitting required information in the designated time frames. Prepares correspondence, agendas, minutes, equipment requests and reports. Reviews and updates policies such as MCMs, SOPs, and EOPs. Prepares employee computer access requests via ePAS. Uses computers, software, and automated systems to accomplish work. Proficiently utilizes Microsoft Office Word, Excel, Adobe, PowerPoint, etc. Develops spreadsheets and documents to maximize efficient reporting using various computer programs and software. Updating and overseeing various databases, spreadsheets, reports, etc. Handles and directs all internal and external incoming calls in a courteous in a professional manner and provides guidance. Coordinates activities, seeks information and resolves problems with a wide variety of customers to maintain a functional working environment/program. Assists all customers to include patients, visitors, medical center staff, leadership, contractors/vendors, etc. and helps provide resolutions with any issues. Appropriately and professionally schedules patients for the VA Outpatient Bus Program in accordance to policy. Maintains an accurate suspense file for the department. Serves as Records Liaison and maintains records according to regulations. Organizes, maintains, and revises relevant hard copy materials, documents, survey binders, etc. Keeps accurate employee 6 part folders. Work Schedule: 8:00am - 4:30pm, Monday - Friday Telework: No Position Description Title/PD#: Program Support Assistant/PD013740 Physical Requirements: Work is generally sedentary, usually performed in an office environment. Requires some walking, standing, bending, climbing, etc. The work environment involves everyday risks or discomforts which require normal safety precautions typical of such places as offices, meeting and training rooms, or libraries. The work area is adequately lighted, heated and ventilated.

Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement. GS-05 grade level: One year of specialized experience (equivalent to the GS-04 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Specialized experience includes: Assists in data collection, data entry, and reporting Monitors office workflows and processes and develops improvement recommendations Maintain folders Timekeeper Coordinating tasks with other departments Take or transcribe meeting minutes OR GS-05: Substitution of Education for Experience (TRANSCRIPTS REQUIRED): (4) years of education above the high school level in any field for which high school graduation or the equivalent is the normal prerequisite. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university. One year of full-time academic study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university, or at least 20 hours of classroom instruction per week for approximately 36 weeks in a business, secretarial, or technical school. OR GS-05: Combination of Education and Experience (TRANSCRIPTS REQUIRED): Combination of successfully completed education and experience to meet the total experience requirements. (i.e. 6 months of specialized experience and 3 years of education above the high school level). NOTE: Only education beyond the second year can be used in combination with specialized experience to qualify for this grade. To calculate, first identify the percentage of required education you have earned (when substituting, you cannot use the first 60 semester hours that you earned). Then identify the percentage of required experience you possess. Add the two percentages. The total percentage must equal at least 100 percent to qualify at the GS-05. For example, an applicant who has 9 semester hours of graduate level education (i.e. 50% of graduate education required) and 6 months of creditable specialized experience (i.e. 50% of the required experience) would equal 100% of the required experience for the position A transcript must be submitted with your application if you are basing all or part of your qualifications on education. *Note: Evidence of specialized experience must be supported by detailed documentation of duties performed in positions held on your resume. You must provide work experience information such as hours per week, salary, and starting/ending dates of employment (month and year format) to establish you have one (1) full year of Specialized Experience at or comparable to the required grade level. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
