This position is organizationally located in the Surgical Service Line under the direct supervision of the Business Manager. The Administrative Assistant complete the in-processing of medical trainees, perform the ADPAC duties related to the medical trainees (ePASS, TMS, PIV, Etc...) and maintain compilation and tracking related to the trainee onboarding and attendance.

Duties

Duties and responsibilities are but not limited to the following: The incumbent is thorough when performing work and conscientious about attending to detail Knowledge of filing, typing, entering data, maintaining records, taking short hand, and using and completing forms Works and communicates with medical trainees and other service lines to meet their expectations Committed to quality service Knowledge of the principles, procedures, and tools of data management, such as modeling techniques, data backup, data recovery, data dictionary's, data warehousing, data mining, data disposal, and data standardization processes Identifies a need for and knows where or how to gather information, organizes and maintains information or information management systems Identifies and analyzes problems; uses sound reasoning to arrive at conclusion; finds alternative solutions to complex problems; distinguishes between relevant new relevant information to make logical judgments Knowledge of standards that either are compliant with or are derived from establish standards or guidelines Uses machines, tools, instruments, or equipment effective; uses computers and computer applications to analyze and communicate information in the appropriate format Work Schedule: Monday-Friday, 8:00am - 4:30pm Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 09/30/2023. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS 07 position you must have served 52 weeks at the GS 06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience and/or education as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS 07 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Knowledge of the broad range of Resident Coordinator, Graduate Medical Training Programs, associated Human Resources requirements, and administrative services at the medical center to plan, to implement, carryout and advise on various activities relative to quality management and improvement. Coordinating and monitoring the functions of administration services within an office; managing duties, priorities, commitments, policies, and program goals of the staff sufficient to perform non-routine assignments, and ability to recognize which information is or is not relevant to the problem at hand. Effectively communicate both verbally and in writing. Act as the Records Management Liaison to include annual TMS training, familiarization with Records Control Schedule 10-1, file plan maintenance. Knowledge and skills required to handle complex information and process it through the correct application.
