This position, located at the Oklahoma City VA Health Care System, serves as work leader in the File/Scanning Unit of the Health Information Management Section (HIMS) under the Health Administration Service (HAS).

Duties

Major duties of this position include but are not limited to... Leads six GS-4 File/Scanning Clerks Responsible for the control of a large volume of patients' medical record scanning; ensures that assignments are carried out by performing a wide range of duties and ensures work is disseminated appropriately and notifies supervisor of any backlog Maintains workload and productivity reports for the unit; performs monthly spot checks on work performance and productivity and reports findings to Supervisor, File/Scanning Unit Resolves simple, informal complaints of employees referring others to the supervisor; informs employees of available services and employee activities Reports to supervisor on performance, progress and training needs of employees and on disciplinary actions Promptly informs Supervisor of any unusual complex or problem situations confronting the daily unit operations that cannot otherwise be resolved Provides supervisor with suggestions as requested concerning promotions, reassignments, recognition of outstanding performance, and personnel needs Assists Supervisor, File/Scanning Unit in the performance, completion and maintenance of accurate and timely monitors to ensure that medical record availability meets or exceeds levels acceptable to the Health Information Management Department, Joint Commission and other reviewing organizations Similarly conducts and completes other monitors as assigned; informs Supervisor of problems found and submit written documentation of findings and all necessary recommendations Conduct follow-up activities, which require tact and persistence when information is not received in a timely fashion VA offers a comprehensive total rewards package: HR Specialist Total Rewards Work Schedule: Monday-Friday, 8:00am-4:30pm Virtual: This is not a virtual position. To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 09/26/2023. You may qualify based on your experience and/or education as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-04 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to...the ability to lead others in order to accomplish the work of the file unit; knowledge of multiple systems and current computer technology regarding Medical Records Tracking Package, PC Fax applications, excel spreadsheets and numerous VistA applications; utilizes computer skills to carry out duties associated with transferring information and maintaining a record request file; solid knowledge of the VA Medical Center's file systems, procedures, flow of medical records and Medical Center Policies to properly coordinate the informational needs of team members; conscientious regarding the confidentiality of the variety of material that will be handled; skill of a qualified typist is required to perform data entry responsibilities; and knowledge of filing sequence of both administrative and medical records is necessary to properly index information...OR, Education: Applicants may also qualify for this position based on education. To qualify, applicants must have successfully completed 4 years of post-high school education. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university...OR, Combination: Applicants may also qualify using a combination of education and experience. Only education in excess of the first 60 semester hours (i.e., beyond the second year) is creditable toward meeting the specialized experience requirement. One full academic year of study (30 semester hours) beyond the second year is equivalent to 6 months of specialized experience. Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: The work involves considerable walking, standing and bending in searching from various files.
