The Program Support Assistant (PSA) position is located in the VA Portland Health Care System performing a variety of clerical, administrative and technical duties/responsibilities in support of the Environmental Management Service (EMS) with the intent of accomplishing the administrative requirements of the organization.

Duties

Major Duties: Incumbent will perform a variety of clerical, administrative and technical duties/responsibilities in support of management with the intent of accomplishing the administrative requirements of the Environmental Management Service (EMS), therefore contributing to the efficient and effective accomplishment of the objectives of the overall organization. Assists Environmental Management Leadership, in the development of relevant policies and procedures to include quality provisions and considerations in regard to software programs to include but not limited to Bed Management/Capacity Management software, Service Request via SharePoint, Environment of Care software, and Getwell Network Patient Request emails. Develops internal administrative standard operating procedures for software systems utilized by researching user requirements, software user manuals, and Directives as they relate to the deliverables of the software. Monitors and responds to daily Bed Management/Capacity Management software, Service Request via SharePoint, Environment of Care software, and Getwell Network Patient Request emails. Follows up with customers and ensure closure of outstanding items. Maintains a continual accumulation of all types of data for use in preparation of a variety of reports. Compiles and prepares a wide variety of continuing or one-time special statistical and narrative reports from records maintained. Responsible for clear and concise coordination between Environmental Services Technicians and service requests to ensure completion and closure of request. Maintains data for various recurring reports. Performs work involving the collection, compilation, and/or tracking of data and statistical information in support of Service programs. The incumbent will use various specialized VA databases, cloud based contracted software and Microsoft Office systems to record, report, monitor and carry out administrative support operations. The incumbent is responsible for gathering data and statistics from a variety of systems. The incumbent creates and updates various reports which require identification, consideration, and resolution of issues or problems of a procedural or factual nature. Prepares correspondence, i.e., reports, letters, etc., related to overall program mission. Prepares for review and forwards documentation according to established procedures. Operates a computer to prepare a variety of narrative and tabular material (i.e., correspondence, reports, forms, messages, charts, statistical data, and other related documents) involving the common terminology of the Environmental Services organization. Work Schedule: Monday - Friday; 7:00 am - 3:30 pm Telework: Not telework eligible. Virtual: This is not a virtual position. Position Description Title/PD#: Program Support Assistant (OA)/PD216510 Physical Requirements: The work is primarily sedentary. Physical demands do not exceed those of a typical office setting. There may be some walking, standing, bending or carrying of light items.

Qualifications

To qualify for this position, applicants must meet all requirements within 30 days of the closing date of this announcement. GS-06 grade level: One year of specialized experience (equivalent to the GS-05 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Specialized experience includes: Knowledge in planning for and developing systems, policies, functions, and services to ensure all staff meet procedural, regulatory, and administrative requirements for work; Knowledge in ensuring that administrative processes are initiated, monitored, and completed timely and accurately in compliance with applicable directives, policies, and procedures.; Knowledge of maintaining timecard information on a recurring timeframe with payroll, posts timecard entries, ensures accurate and proper tour posting, verifies leave usage, transmits time and attendance documents to appropriate contacts; Knowledge of various specialized databases, cloud based contracted software and systems to record, report, monitor and carry out administrative support operations; Knowledge of preparing correspondence, i.e., reports, emails, letters, etc., related to overall program mission; Knowledgeable of protecting printed/electronic files containing sensitive data and unauthorized release, loss, alteration, or deletion; and knowledgeable on taking meeting minute notes on various committees, site visits and morning huddles. In addition to meeting Specialized Experience the following is required: Typing Proficiency: 40 words per minute typing speed. Applicants may meet this requirement by presenting a certificate of proficiency from a school or other organization authorized to issue such certificates (must upload certificate with application package) or by self-certifying their proficiency. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
