This position is an Administrative Support Assistant (OA) in the Facilities Department, located at the White Earth Service Unit, White Earth, MN. The purpose of this position is to perform administrative tasks associated with maintaining and supporting the work performed within the organization. This position reports to the Facilities Supervisor or designee.
Duties
Receives and routes incoming and outgoing materials such as controlled or routine correspondence, reports, memoranda, and other forms of written communication.
Performs office automation duties to prepare documents such as correspondence, forms, and reports which can include technical material, graphs, and charts.
Keeps the appointment and meeting schedule for the Director of the organizational unit served, and those of other senior staff members as directed.
Receives and calls and visitors from within and outside the immediate organizational unit.
Performs a wide variety of administrative tasks associated with maintaining and supporting the work of the organization.
Performs other duties as assigned that are directly related to this position.
Qualifications
To qualify for this position, your resume must state sufficient experience and/or education, to perform the duties of the specific position for which you are applying.
Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; social). You will receive credit for all qualifying experience, including volunteer and part time experience. You must clearly identify the duties and responsibilities in each position held and the total number of hours per week.
MINIMUM QUALIFICATIONS:
Your resume must demonstrate at least one (1) year of specialized experience equivalent to at least the next lower grade level in the Federal service obtained in either the private or public sector performing the following type of work and/or tasks:
GS-05: One (1) year of specialized experience equivalent to at least the GS-04 grade level OR four (4) years above high school (except Reporting Stenographer).
Examples of Specialized Experience for the GS-05: Administrative tasks associated with maintaining and supporting the work performed within the organization.
GS-06: One (1) year of specialized experience equivalent to at least the GS-05 grade level.
Examples of Specialized Experience for the GS-06: Administrative tasks associated with maintaining and supporting the work performed within the organization. Functions necessary for the efficient management of an office and ranges from correspondence and information control to ordering and tracking equipment, supplies, and services.
GS-07: One (1) year of specialized experience equivalent to at least the next lower grade level.
Examples of Specialized Experience for the GS-07: compiling, organizing, and tracking data, data entry, managing schedules and travel arrangements for senior staff; maintaining and purchasing supplies and equipment; composing correspondence and reports; working proficiently with office equipment (i.e. fax, copier, scanner) and personal computer.
Specialized Experience Defined -- KSA with electronic health record, electronic patient scheduling program, computer skills, including Microsoft Office and Microsoft Excel.
