The Long Beach VA Health Care System is currently recruiting one Program Support Assistant within the Medical Foster Home (MFH) program for the Social Work Service. The incumbent will provide a wide variety of clerical and administrative duties in support of the overall administrative support functions of the office.
Duties
Duties include, but are not limited to:
Maintains local MFH office operation with timely follow-up, education and problem solving with caregivers, community providers, Veterans, and stakeholders regarding program services, application and processes.
Point of contact and subject matter expert regarding questions about the program and coordination of referrals.
Provides resource and referrals to MFH providers and Program Manager.
Collaborates with other VA Departments, MFH Program Support Specialists (PSSs) and Program Support Assistants (PSAs) across the VISN to support facility MFH operations and effective communications with community providers, such as Veteran Service Organizations, faith-based organizations, United Way, fraternal organizations, and other nonprofits.
Assist in facilitating interviewing, onboarding, employee orientation and telework.
Orders equipment and supplies, etc.
Tracks staff TMS completion, and performs ADPAC duties , granting access to shared folders in HCG drives, MS Teams, T&L VATAS, and the Caregiver Record Management Application (CARMA).
Monitors program eligibility data, caregiver and Veteran activities, utilization, response to standard operating procedures, and makes recommendations for program improvements.
Takes initiative in certain aspects of program planning and development, manages resources and establishes and maintains communications with other services.
Accepts telephone calls from MFH staff in the field, other VA staff, and/or community agency staff, Veterans, caregivers, regarding program inquiries, etc. Refers caller based on needs.
Composes correspondence as indicated to assist with functions of MFH staff. Composes reports and meeting minutes as directed by MFH Program Coordinator. Uses computer programs to type all recurring correspondence, minutes, and reports, maintaining computer files easily accessible by other team members.
Manages the Time and Attendance system for the Caregiver Support Program, including tracking of premium pay requests and OT/ CT data.
Prepares materials for trainings, presentations, and information tables as needed. Also schedules conferences and meetings, including arranging logistics, preparing agendas, and notifying participants.
Perform computer automated duties using Microsoft Office Software, i.e., Teams, Word, Excel, Power Point, Outlook, and other VA and program applications including CPRS and VISTA.
Develop, maintain and revise data tracker systems which monitor MFH application and enrollment tasks and completion.
Tracks MFH Program expenditures. Assist in maintaining the Fiscal Control Point (FCP) Expense/Need/ Excess tracking system. Collaborate with LBVA Fiscal point of contact on monthly, quarterly, annual base, and as directed with respective action items.
Other duties as assigned.

To qualify for this position, applicants must meet all requirements by the closing date of this announcement.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. You may qualify based on your experience and/or education as described below:
Specialized Experience: In addition to meeting the requirements listed above, you must have one year of specialized experience equivalent to at least the next lower grade in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Using a computer to process and analyze data; sorting and processing incoming correspondences; coordinating with others to accomplish work related projects; gathering information, entering data, and formulating letters, reports or other documents; advising others on processes or procedures; verifying accuracy and completeness of information on paper or computer documents; maintaining security or confidentiality of records, equipment, or computer access.
Preferred Experience: Working with Geriatric and older adults with both medical and psychiatric impairment. Willing/able to work with minimal guidance to develop program excel spreadsheet, develop Sharepoint site for program and develop written material for new Geriatric community focused program - previous program development experience preferred. Strong ability to collaborate with VA, community providers and community partners. Knowledge of timekeeping, fiscal tracking and customer service.
Physical Requirements: Work is sedentary. May include some walking, standing, bending, carrying of light items or driving and automobile. The work requires manual dexterity for computer data entry, office machine operation and filing. However, in general, the work does not require unusual physical demands. The work does require emotional stability to resolve crisis situations.
There is no educational substitution for the GS-07 level.
Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
