The incumbent serves as the Program Support Assistant (PSA), to the Office of Associate Director, Patient Care Services, in support of Telehealth Service. This position requires excellent relational and communication skills; advanced knowledge of and experience with computers, oral and written communication skills, and the ability to work with others, particularly military populations.
Duties
The incumbent serves as the PSA to the Office of Associate Director for Patient Care Services, in support of Telehealth Service. The PSA's extensive knowledge and understanding of the organization, regulations, methods, and other tools or resources of management aids the Facility Telehealth and Rural Access Program Nurse Manager by providing reports, tracking data, preparing Telehealth Service Agreements, monitoring of daily workflow, and providing support.
The PSA is an important member of the Telehealth and Rural Access Program in assisting with the flow of information to the Telehealth Rural Access Program Nurse Manager. The PSA supports all the administrative functions of the Telehealth and Rural Access program and VA Liaison Programs.
Specific duties include, but are not limited to, the following: Administratively supports all program staff; assist with coordination of the Telehealth and Rural Access and VA Liaison program offices where veterans seek information and education; coordinates and collects necessary data for the programs. Works collaboratively with all clinical services and ancillary services, and other departments throughout the West Texas VA Health Care System (WTVAHCS). Assists in the preparation of all program reports; assists in tracking internal reviews, quality measures, and efficiency of the programs; maintains databases; assists in maintaining available resources and makes recommendations regarding needs and distribution of resources; coordinates correspondence for the Telehealth and Rural Access programs; maintains time and attendance records for the Telehealth and Rural Access program and assists in the daily operation of the Telehealth and Rural Access programs. Successfully manages multiple timelines and projects, and other administrative duties at the discretion of the Telehealth and Rural Access Program Nurse Manager.
Prepares, executes, and tracks program specific information, as such congressional inquiries, suspenses, special funding grants from the office of Connected Care and Office of Rural Access, Telehealth Service Agreements, Telehealth and Rural Access Program requests/reports.
Assists in the acquisition, development, and scheduling of program resource materials and personnel, such as hard copy and computer-based brochures and reports and agency staff and volunteer personnel. Assists in preparing and reviewing program surveys and assists in analyzing trends based on expressed needs of veterans and stakeholders from VA and Office of Connected Care databases.
Assumes responsibility for preparation of reports, memorandums and outgoing correspondence concerning all Telehealth and Rural Access programs. Uses initiative in typing and correcting terminology and phrasing to achieve clarity and in correcting grammar, punctuation, paragraphing, etc. The incumbent demonstrates proficiency in writing, editing, and the use of a variety of formats for correspondence and production.
The incumbent coordinates calendars for the Telehealth and Rural Access program staff, based on personal knowledge of workload, current issues of importance and the critical nature of the appointments or issues being scheduled.
Coordinates a variety of interdisciplinary activities such as the interface of the Telehealth and Rural Access Program with Primary Care teams and specialty care teams. Coordinates outreach and educational opportunities in the areas of Telehealth and Rural Access. The program support assistant will have contact with a wide variety of facility and VISN staff to assist in the coordination of activities
Work Schedule: Monday to Friday 8:00am to 4:30pm

Physical Requirements: The work is sedentary. Some work may require movement between offices, hospitals, warehouses, and similar areas for meetings and to conduct work. Work may also require walking/standing, in conjunctions with travel to and attendance at meetings and/or conferences away from the work site. Incumbent may carry and lift light items weighing less than 15 pounds.

GS-06 grade level: One year of specialized experience (equivalent to the GS-05 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Specialized experience includes: ability to type and use initiative in correcting terminology and phrasing to achieve clarity and in correcting grammar, punctuation, paragraphing. Proficient in writing, editing, and the use of a variety of formats for correspondence and production. Knowledge of the Telehealth and Rural Access programs. Experience with telephone and personal interaction with the public. Data management and communication skills are critical as well as knowledge of the VISTA system and programs to access patient information, process timecards, and other supplies and materials. Knowledge of Microsoft Office to include Word, Power Point, Outlook, Excel, and Access is required to prepare reports and analyze data. Skill in operating a personal computer and various software packages.
There is no educational substitution for the GS-06 level.
