The primary purpose of the position is to provide support for the day-to-day administrative and clerical needs supporting the Social Work Program in support of program goals, objectives, and service needs. The incumbent supports an array of technical, training, planning, and administrative activities.
Duties
Duties include, but are not limited to:
Revises, analyzes and evaluates the accomplishments of various office administrative functions, such as records management, reports control, forms control and administrative standard operating procedures for Social Work.
ADPAC duties including initial hire/onboarding needs in this area, adding and removing user's access to keys, provides basic computer orientation to users (electronic signatures, mailman and common options), reviews and evaluates request for changes.
Performs office automation duties using such software applications as electronic mail, calendar, spreadsheet, database and/or graphics.
Enters pertinent information into an automated tracking system.
Planning, review, and reporting of data/statistical results and data capturing processes for program/project studies.
Receives, formats, enters, sorts compile and configure data from a variety of sources for recurring and non- recurring reports, charts and graphs used in evaluating staff hours and monies spent for Overtime, Annual Leave and Sick Leave.
Establishes protocols for incoming data; organizes computerized data sets and retrieves computerized data.
Maintains automated system of program-specific data to track suspense's on project milestones, progress reports, funding accomplishments, compliance strategies.
Completes special data management and outcomes projects in support of the activities of the organization.
Routinely communicates with social workers, nurses, physicians and other allied health professional staff using sound interpersonal skills and awareness of sensitive information.
Coordinate, organize, process, distribute and collect for the privileging, FPPE and OPPE processes
Serve as a PIV sponsor, ADPAC and purchase card holder for the Social Work Program.
Monitor/track credentials and licensing requirements for all social workers across the VA Loma Linda Healthcare System.
Coordinates and manages all supplies, telephone and computer moves within the Social Work Program and monitors the use of services, supplies, or equipment for the office.
Maintains the Social Work Professional Practice SharePoint and Social Work LEAF sites by updating, adding information and pulling data, as needed. Maintains, organizes, and audits Social Work Program competency folders.
Work Schedule: Monday through Friday, 8:00 am to 4:30 pm

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 09/19/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-6 position you must have served 52 weeks at the GS-5 level. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. You may qualify based on your experience and/or education as described below:
GS-6 Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-5 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: provide support for the day-to-day administrative and clerical needs supporting the Social Work Program in support of program goals, objectives, and service needs. Experience with an array of technical, training, planning, and administrative activities such as serving as a PIV sponsor, ADPAC and purchase card holder, monitor/track credentials and licensing requirements, and receives, formats, enters, sorts compile and configure data from a variety of sources for recurring and non- recurring reports. OR,
Education: Applicants may substitute education for the required experience. As a general rule, education is not creditable above GS-5 for most positions covered by this standard; however, graduate education may be credited in those few instances where the graduate education is directly related to the work of the position.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements: The work entails coordination of care for program veterans, the analysis of program outcomes and presentation of reports to supervisors and program managers. Thus work entails some movement within the facility as well as sedentary work. Typically, the employee sits comfortably to do the work. However, there may be some walking; standing; bending; carrying of light items such as papers, books, small parts; or driving an automobile, etc. No special physical demands are required to perform the work.
