The primary duties of the Program Support Assistant consist of supporting the Hospice and Palliative Care Programs. The incumbent will assist GEC Leadership, Program Director/Coordinator, and Chief Nurse with the responsibility of carrying out assigned duties related to the maintenance of Hospice and Palliative (H&P) programs. They will be responsible for a variety of duties involving the collection, compilation and tracking of data and statistical information necessary to support the program.
Duties
Major duties include but are not limited to:
Independently manage the responsibilities associated with setting priorities and adjusting work to meet service needs;
Provides daily administrative support to Geriatrics and Extended Care Service staff related to administering and maintaining required educational information, maintenance of clinical privileges, and managing the TMS Training Program;
Screens and receive phone calls in a courteous and timely manner, determining the nature of requests and provides the information desired using privacy rules and established clinic processes;
Schedules appointments with internal and external customers, reserve conference rooms, and send reminders as needed in support of the program;
Requisitions office supplies to include all steps involved in obtaining supplies for Hospice and Palliative (H&P) programs;
Take and transcribe minutes for all meetings and conference calls involving H&P programs;
Maintains timecards for the H&P programs and is an alternate timekeeper for GEC when necessary;
Provides accurate data entry and automation of information to produce various reports to be used for workload and productivity reports;
Reviews reports generated and identify and correct any discrepancies;
Serves as the subject matter expert regarding administrative process for referrals, community providers, and patient complaints;
Participates and provides input in problem solving on operational issues and procedures in team meetings;
Resolves provider issues, questions, or concerns to ensure ongoing patient and provider satisfaction and efficient communications and;
Enters data and ensures reporting requirements are met using web-based national, VISN and local reporting software.
Work Schedule: Monday - Friday; 7:30 am - 4:00 pm
Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 09/18/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Examples of qualifying specialized experience includes duties involving the collection, compilation and tracking of data necessary to support the Service Line. This includes planning, reviewing and reporting data to the leadership team; establishing protocol for incoming data; and organizing computerized data from various sources in order to develop recommendations and proposals. Provides administrative support and guidance related to administering and maintaining educational information, maintenance of clinical privileges and management of the TMS Training Program for the Service.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.
TYPING PROFICIENCY: This position requires the skills of a qualified typist. In addition to meeting the experience and/or education requirements, you must be able to type at least 40 words per minute.
Physical Requirements: This position is primarily sedentary. The incumbent may be required to travel for training, consultation or survey review.
