Incumbent is under the immediate supervision of the Administrative Officer. This position provides a variety of administrative management services essential to the direction, operation, and administrative functions of the Surgery Office. The GME Training Coordinator provides direct assistant to the Surgery Associate Chief of Staff (ACOS) and subordinate operating officials through the knowledge of and skills in dealing with responsibilities to include, but are not limited to, HR, Fiscal.
Duties
The duties of this position can include, but are not limited to, the following:
Performs and monitors established administrative management requirements for the unit which entail well-established administrative requirements and responsibilities.
The incumbent serves as the Subject Matter Expert (SME) on all appointment coordination and training requirements for the three main Academic Affiliates and the over 100 affiliated heath programs and educational institutions requesting their trainees or students rotate within Detroit VAMC.
The incumbent is a trainer and is responsible for initial and refresher training to physicians and other surgical staff in the Surgery package of VIST A/CPRS to include the anesthesia package. (Computerized Patient Record System (CPRS) and on the Veterans Health Information systems Technology and Architecture (VISTA) programs).
The incumbent must possess a thorough knowledge of, and adhere to a strict timeline for, the successful completion of annual and sometime intermittent in-processing procedures.
The incumbent identifies and analyzes problems; uses sound reasoning to arrive at conclusions; finds alternative solutions to complex problems; distinguishes between relevant and irrelevant information to make logical judgements.
The incumbent organizes and conducts new Surgery staff orientation; providing computer access training; documentation instruction to the web-based mandatory training modules; and follow-up and tracking of mandatory training compliance.
The incumbent must identify, document, input, process, and track all data as it pertains to health profession trainees (HPTs) from multidisciplinary training programs, to include documentation, security, and fiscal requirements, as outlined in Affiliation Agreements; post- graduate level and pay (stipend) rate; funding sources (i.e., Full Disbursement Agreement, VA, military, or Without Compensation (WOC)); contract terms; training cycle limits; licensing authority; and service obligations.
The incumbent oversees onboarding process for all residents and fellows' students and ensures that all requirements are met. This includes but not limited to, all appropriate access requests, PIV, obtaining access and verity codes, CPRS keys and menus.
The incumbent requests and manages on-call schedule for all sections within Surgery Service that have responsibilities as consulting service.
The incumbent escalates deficiencies to appropriate leadership as specified by policy.
The incumbent completes all required timekeeping for residents, fellows and medical students utilizing the EAR system.
The incumbent is responsible for creating orientation packets for new medical students.
The incumbent contacts, prepares and organizes all necessary trainings in advance of scheduled orientation days.
The incumbent coordinates VA medical student didactic training sessions, scheduling room or venues, providing direct technical support, publishing and distributing relevant training aids and assisting with questions or inquires.
The incumbent prepares or provides training resource guides, handouts or other reference material related to training requirements.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 09/18/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-09 position you must have served 52 weeks at the GS-07. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience and/or education as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-07 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: assisting with collecting, compiling, and/ or tracking data and statistical information in support of program operations; monitoring and updating reports; identifying, analyzing, and recommending solutions to problems; making recommendations based on analysis of statistical data for process improvement; organizing and scheduling meetings; maintaining computerized databases or information tracking systems; creating standard operating procedures and training manuals to aid in training programs and work processes for end users; and monitoring budgetary data and creating Medical Center budgetary reports. OR,
Education: Possess a master's or equivalent graduate degree or 2 full years of progressively higher-level graduate education or a J.D., if related to the work of the position. One year of graduate education is 18 semester hours or the number determined by the school attended to represent one year of full-time study. (Transcripts must be submitted). OR,
Combination: Combinations of successfully completed post-high school education and experience may be used to meet total qualification requirements. This can be determined by adding total qualifying experience as a percentage of the required experience and education as a percentage of the total required. The total percentage must equal 100 percent. Only education in excess of the first 18 semester hours (i.e. beyond the first year of graduate level education) is creditable towards meeting the specialized experience requirement. Preferred Experience:
Two years or more experience in Graduate Medical Education. Prior knowledge of Accreditation Council for Graduate Medical Education (ACGME), experience in Training, Resident Onboarding, Resident Management Process, Resident Hours Tracking and Reporting.
Two years or more experience in an office or education environment using computer-based systems. Proficient with Microsoft Office to include Word, Excel, PowerPoint, and Outlook

Physical Requirements: The work is sedentary. Typically, the employee sits comfortably to do the work. However, there may be some walking; standing; bending; carrying of light items such as papers books, small parts; or driving an automobile, etc. No special physical demands are required to perform the
work.
