This position is located at a VA medical facility in Health Professions Education (HPE) Office. This position supports the Designated Education Officer (DEO) in establishing, maintaining, and evaluating the quality of health professions training programs and the quality of care delivered by health professions trainees (HPTs). The purpose of this position is to coordinate administrative and support services to fulfill academic mission and program requirements of accrediting bodies.
Duties
Major Duties:
Routinely mine, collect, compile and track data
Must be skilled in the use of MS Office programs (i.e., Outlook, Excel, SharePoint, etc.) as well as proficient with other specialized software such as SQL, VistA, and the Computerized Patient Record System (CPRS) to access pertinent information on an as needed basis
Identifies and navigates data sources (standard/ non-standard) as well as identify the best ways in which to apply such data to both standard/routine and unique reporting functions
Maintain and/or enhances standardized/routine, program specific reporting
Develops unique/special project reports based on identified reporting/project goals and strategic needs
Identifies and complete projects to update office documents, standard operating procedures and related materials
Maintains compliance with regulatory requirements
Develops program information and resource materials
Manages agendas, minutes, and follow up support to the committees
Establishes and maintain files of correspondence and other documents related to investigations, performance appraisals and other sensitive matters
Searches and provides all appropriate reference material
Routinely completes tasks such as scheduling interviews, submitting and tracking work orders, mail pick up and distribution, coordination of timely, proper completion of the Pharmacy Service's annual performance appraisal process
Serves as the Subject Matter Expert (SME) for the Pharmacy Service Records Management Program
Responsible for maintaining service level records, develop tools and relationships that promote the effective coordination and management of the Program, responsible for using significant judgement to analyze and resolve issues involving the development and maintenance of records management systems
Performs other related duties as assigned
Promotion Potential: The selectee may be promoted to the full performance level without further competition when all regulatory, qualification, and performance requirements are met. Selection at a lower grade level does not guarantee promotion to the full performance level.
Work Schedule: Monday to Friday, 7:30 am - 4:00 pm

Qualifying Specialized Experience GS-6: You must have one year of specialized experience equivalent to at least the next lower grade GS-5 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Knowledge of policies, regulations, procedures, priorities, and programs; Knowledge of administrative services at the facility to plan, implement, carry out and advise on various activities relative to quality management/improvement; Ability to analyze and problem solve; Knowledge of basic financial procedures and processes; Knowledge of computer software programs to input and retrieve data; Ability to design, write and review policies; and Ability to complete complex and varying duties involving different and unrelated steps, processes, and methods. Note: Experience must be fully documented on your resume and must include job title, duties, month & year starting and year ending dates AND hours worked per week.
Qualifying Specialized Experience GS-7: You must have one year of specialized experience equivalent to at least the next lower grade GS-5 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Ability to conduct studies or recommend improvements, streamline administrative operation methods, consolidate processes, functions, forms, etc.; Knowledge of policies, regulations, procedures, priorities, and programs; Knowledge of administrative services at the facility to plan, implement, carry out and advise on various activities relative to quality management/improvement; Ability to analyze and problem solve; Knowledge of basic financial procedures and processes; Knowledge of computer software programs to input and retrieve data; Ability to design, write and review policies; and Ability to complete complex and varying duties involving different and unrelated steps, processes, and methods; Skill in using information management and analysis software, including spreadsheets, other data, graphics, presentations, and flowcharting software. Physical Requirements: The work is sedentary. Typically, the person in this position may sit comfortably to do the work. However, there may be some walking, standing, bending and carrying of light items like papers or books. No special physical demands are required to perform the work.
