The Secretary (OA) serves within the Director's Office of the Iowa City VA Health Care System (ICVAHCS) and provides full administrative/clerical support for the Chief of Staff (COS), Deputy Chief of Staff (DCOS), and Administrative Officer (AO). The employee also provides assistance to other members of the ICVAHCS Executive Management Team as needed. The position is located in Iowa City, IA.
Duties

Duties include but may not be limited to:
Manages calendar(s) for Executive leadership.
Arranges meeting space and initiates meeting requests/invites to attendees.
Prepares and distributes meeting agendas and minutes.
Provides program support functions for councils, committees, and other agency programs and functions as assigned.
Collects, compiles, researches and tracks data and program information.
Independently contacts individuals who are responsible for review/follow up items to establish and report on the status of open agenda items.
Maintains a daily suspense file of items that need attention.
Maintains responsibility for ensuring various reports and suspense actions are answered in a timely manner.
Communicates with a variety of internal and external stakeholders via telephone, email and in person.
Processes incoming and outgoing materials such as correspondence, reports, memoranda, policy, and other forms of written communication.
Verifies funds availability prior to making purchases and complying with single purchase and monthly cardholder limits placed on card.
Maintains receipt records and supporting documentation and safeguarding the card, not allowing others to utilize the card, and only utilizing the card for official Government business only.
Utilizes a variety of office automation equipment and software to complete duties.
Maintains time and attendance records and serves as a back-up timekeeper for other Executive office employees.
Safeguards confidential and privileged information and files in accordance with established procedures.
Performs all duties as assigned.
Work Schedule: Monday - Friday, 8:00am - 4:30pm

Qualifications
To qualify for this position, you must meet the following:
TYPING PROFICIENCY: This position requires the skills of a qualified typist. In addition to meeting the specialized experience requirement, applicant(s) must be able to type at least 40 words per minute.
AND
SPECIALIZED EXPERIENCE: Requires at least one (1) year of experience that equipped the applicant with the particular knowledge, skills, and abilities (KSA's) to perform successfully the duties of this Secretary (OA) position, and that is typically in or related to the position to be filled. To be creditable, specialized experience must have been equivalent to at least the next lower grade level (GS-07). Qualifying experience includes utilizing a variety of office software to format and prepare correspondence such as letters, memorandums, and reports; managing calendars; scheduling meetings and appointments; and communicating with internal and external customers via telephone, email and in person. IMPORTANT: A full year of work is considered to be 35-40 hours of work per week. All experience listed on your resume must include the month and year start/end dates. Physical Requirements: The work is sedentary. Typically, the employee sits comfortably to do the work. However, there may be some walking, standing, bending, carrying of light items, such as papers, books, small parts, or driving an automobile. No special physical demands are required to perform the work.
