The Program Support Assistant is assigned to the Mental Health Service at VA Saint Louis health Care System in Saint Louis, Missouri. The Program Support Assistant (PSA) provides clerical and administrative support services to the facility's Hope Recovery Center and Homeless Outreach Programs.
Duties
Duties include, but not limited to:
Works in tandem with Mental Health Staff as a unified team to manage administrative support for Outreach Programs.
Continuously monitors program activities, reports, coordination with professional staff, etc. and identifies potential problem areas and trends
requiring further study.
Schedules and arranges site specific meetings and conferences to ensure greatest efficiency and access to clinical group rooms or conference rooms. Works collaboratively with clinical staff to update and maintain accurate and current group room calendars; notifies those who are using rooms; prepares monthly calendar; compiles and distributes to service leaders.
Communicates regularly with the Veterans, caregivers, families, and VA approved providers enrolled in their respective program; serves as the point of contact for the program and provides vital administrative program information to the Veterans, caregivers, families, VA approved
providers, and other VA staff.
Manages time and leave in VATAS and provides support to staff for all units assigned under the program. Provides current leave policies and creates various reports to assist in the management of manning documentation.
Uses customer service and approved patient workflows to assist Veterans in navigating various program providers, coordinating with virtual, community and onsite team members using a multitude of communication platforms.
Serves as building medication control inspector and oversees building SDS/Chemical Inventory tracking. Participates in medical center medication audit and tracks chemical inventory for the building to ensure SDS sheets are current.
Prepares travel documents, clearances, itineraries, schedules, and summaries. Maintains follow up for timely administrative and fiscal approvals.
Utilizes automation equipment and systems to produce a variety of charts, graphs, and narrative and tabular material (i.e., correspondence, reports, charts, statistical tables, messages, spreadsheets and other documents).
Serves as program Fund Control Point (FCP) clerk. Develops and maintains financial spreadsheets, to assist in ensuring appropriate utilization of funds and to prevent budget deficits. Monitors available resources and makes recommendations regarding distribution and additional needs. Provides periodic budget reports to the Program Managers, Administrative Officer, and the Service Chief.
Performs other related duties as assigned.
Work Schedule: Monday - Friday, 8:00am - 4:30pm
Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 09/11/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-7 position you must have served 52 weeks at the GS-6. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. You may qualify based on your specialized experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-6 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Responsible for a wide variety of duties associated with the effective execution of Outreach Programs for the VA St Louis Health Care System (VASTLHCS); Provides clerical, administrative, and logistical support essential to professional and technical staff of the Outreach Program; Reserves individual and shared office spaces for services offered at HRC; Serves as an assistant Talent Management System (TMS) Administrator for the assigned program; coordinating training, maintaining training records, providing input and specific information regarding the training programs available to assigned employees; Responsible for ordering the necessary supplies for assigned program through VISTA..

Physical Requirements: The work includes some by sitting, standing, bending, and stooping, lifting up to 50 lbs. and driving large vehicles. The employee is required to obtain records from files, and carry files, manuals, and other light objects.
