The Administrative Support Assistant will provide a wide range of technical, administrative, and clinical support for the Employee & Occupational Health (EOH) staff including, but not limited to; scheduling employees/volunteers/humanitarians, planning, programming, customer service, data processing, personnel, equipment, property and logistics management, reporting, and general office management.

Duties

Major duties include but are not limited to: Collect, compile, track, and file patient care information in multiple systems, as well as assisting with paper records. Register and schedule all employees in appropriate software systems. Schedule new staff for physicals. Schedule employee yearly exams and appointments for special program exams. Schedule follow-up appointments. Screen all telephone calls and visitors to the Employee Health Clinic. Prepare documentation/paperwork for employee referrals and laboratory/imaging studies. Perform data entry of patient information and assist with generating reports. Receive, review, and assure timely completion of employee requests for enrollment into special programs. Assist EOH Director with tracking and editing of administrative directives and policies. Work directly with personnel/agencies outside of VA. Collaborate with leadership and Contracting Officer Representatives to get quotes, order equipment, and coordinate delivery of services. Maintain and monitor reporting systems throughout Employee Health. Receive and process Release of Information Consent requests of medical documents, reports, and visit notes. Serve as receptionist for the clinic, including receiving, directing, and assisting telephone callers, patient and visitors. Process incoming and outgoing materials, such as correspondence, reports, and memoranda. File, make copies, edit letters, compose letters/reports, take meeting minutes, and prepare presentation outlines. Maintain calendars/schedules and track inventory. Order office supplies. Promotion Potential: The selectee may be promoted to the full performance level without further competition when all regulatory, qualification, and performance requirements are met. Selection at a lower grade level does not guarantee promotion to the full performance level. Work Schedule: Monday - Friday, Administrative Days Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement. Minimum Qualifications: You may qualify based on your experience as described below: GS-06 grade level (Developmental): One year of specialized experience (equivalent to the GS-05 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Specialized experience includes but is not limited to: providing administrative support to various groups/leadership (i.e., maintaining calendars/schedules, timekeeping, drafting meeting minutes); utilizing various software systems to compile/collect data; preparing various correspondence; providing customer service such as answering/routing telephone calls and greeting customers; and tracking/maintaining annual inventory. GS-07 grade level (Full Performance): One year of specialized experience (equivalent to the GS-05 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Specialized experience includes but is not limited to: providing administrative support to various groups/leadership (i.e., maintaining calendars/schedules, timekeeping, drafting meeting minutes); utilizing various software systems to compile/collect data; performing data analysis; generating reports; preparing various correspondence; providing customer service such as answering/routing telephone calls and greeting customers; and tracking/maintaining annual inventory. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities.
