Incumbent serves as the administrative assistant for all VISN 9 Caregiver Support Program (CSP). This position provides the full range of direct administrative and technical support to the CSP Manager and serves as a core member of a VISN-level inter-professional group of clinical reviewers-the Centralized Eligibility and Appeals Team (CEAT) as the Program Support Assistant (PSA).

Duties include but are not limited to:
The incumbent performs duties necessary for the receipt, intake, & indexing of health & administrative information related to the Program of Comprehensive Assistance for Family Caregivers (PCAFC). Works collaboratively as a member of an inter-professional clinical team that reviews Veteran & caregiver application packages.
The incumbent will interface interface with personal computer
The primary function of this position is to provide administrative support for VISN CSP office day-to-day operations, utilizing a thorough knowledge of the structure and governance of the VA CSP services.
This position provides operational support to the CEAT members and perform the full range of clerical, business, and administrative duties that ensure an efficient and effective PCAFC review process.
Handles numerous requests for information such as status of reports, suspense dates, etc. for matters requiring compliance and similar information on behalf of the CSP and CEAT.
Ensures accurate, timely and consistent entry of information into appropriate database(s).
The PSA assists the team to ensure the secure transmission and receipt of documents needed to make eligibility, tier level, discharge, and appeal determinations for the PCAFC comply with VHA privacy rules.
Acts as timekeeper for Clinical Programs, maintaining time and leave records as needed and directed by position supervisor.
Collects and categories of all personnel workload and fiscal reports, as required by the program and as directed by position supervisor.
Participates in training and receives education, training and operations guidance as it pertains to the PSA role on the CEAT across VISN's to increase CEAT process standardization nationally.
Possesses knowledge of medical terminology and usages, (e.g., medicine, surgical, geriatrics, hospital terms, medical abstracts, nursing, social work, pharmacology, aging, and home health), spelling, grammar, abbreviations, composition, and ability to determine and follow required formats for VA memos and reports.
Ability to adapt to changing situations, to modify plans and demonstrate flexibility in changing circumstances, while displaying a high degree of interpersonal skill.
Ability to plan effectively, set priorities, coordinate activities, have a high degree of skill in oral and written communications with a variety of people from different backgrounds and different levels of understanding, and present a positive image of the VA. This may include clerical, technical, administrative, and professional (medical and non-medical) people at all levels in the medical center and community
agencies.
Demonstrates proficient use of software packages such as
MS Office Suite (i.e., Word, Excel, PowerPoint) to graphically display and analyze data, develop and/or edit spreadsheets, and create presentations, etc..
Provides cross-coverage for the VISN 9 Office administrative support staff, as needed, to ensure all essential duties and task relating to administrative support for the VISN 9 Office are performed timely and without disruption. Provides adequate support to help maintain all essential administrative functions of the VISN 9 Office.
Performs other duties as assigned.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 09/15/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 (Non-Award) that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.

You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Ability to communicate effectively both orally and in writing, to express thought clearly, and to develop ideas in a logical sequence. Ability to respond orally and in writing to customer inquiries about CSP and CEAT programs, policies, procedures and methods. Excellent customer service skills. Ability to negotiate effectively with internal and external customers to accept and implement recommendations and partner on initiatives. Skill to plan and organize a wide array of work and track multiple deliverables, projects and deadlines. Practical knowledge of general office procedures including filing systems, VA Correspondence formats, and clerical practices and procedures applicable to mail and record maintenance work. Knowledge and skills to operate a variety of standard office and VA computer programs and databases. The position requires demonstrated experience and mastery of office automation systems and word processing the Microsoft Office suite of products (Excel, Power Point, Access, Word, SharePoint etc.). The position requires high levels of attention to detail to perform data entry functions with accuracy.
Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.
Physical Requirements: The work is primarily sedentary. It occasionally requires carrying of light objects such as files, books and papers; some walking, standing and bending. No special physical qualifications are required.
