The Secretary (Typing) position serves as the principal clerical and administrative support of the Clinical Support Staff (CSS)/Care Management Service within the Sioux Falls VA Health Care System. The Secretary is responsible for personally composing and preparing responses to correspondence such as letters, memoranda, and email from records on files maintained. The incumbent also composes additional correspondence from brief oral and written notes, arranging form and continuity of thought.
Duties
Major duties include, but are not limited to:
Receives and screens visitors and telephone calls.
Reviews and prepares all correspondence received by the service line for necessary action.
Reads and processes incoming correspondence and material and thoroughly screens material prior to distribution for suspense dates, establishes controls, and follows up on responses which are due.
Ensures that correspondence is properly routed in a timely manner.
Serves as ADPAC, PIV Sponsor, and TMS Administrator for CSS.
Serves as Timekeeper for full and part time employees in CSS and Imaging Department.
Types into final format from written material, brief instructions and/or voice recordings pertaining to intra-agency and public correspondence, narrative and tabulated reports, travel documents, personnel actions, etc., using manual, electric, or automated typing equipment.
Utilizes knowledge of regulations and procedures in determining number of copies required and arranging material in proper format.
Proofreads completed work for accuracy in spelling, grammatical construction, and punctuation, and checks to assure presence of necessary enclosures.
Assists supervisor in the procedural aspects of expediting the work of the office, including distributing the workload of clerical help to take care of fluctuating workload; explaining report requirements and arranging for submission of data to be assembled by the incumbent into general reports; and informing and instructing typing and clerical personnel concerning procedures for preparation of correspondence.
Performs other related duties as assigned.
Work Schedule: Monday - Friday, 8:00am - 4:30pm
Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. This position may be authorized for regular telework (one day per month). Telework eligibility will be discussed during the interview process.

Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS05 in the normal line of progression for the occupation in the organization. Specialized experience includes: performing clerical/administrative duties in an office environment; answering and directing phone calls; receiving visitors; preparing correspondence; maintaining files/records; and using a computer to perform a variety of support tasks; scheduling and managing a calendar of appointments. At this grade level, applicants should have good verbal and written communication skills and the ability to perform assignments independently with minimal oversight. NOTE: Experience must be fully documented on your resume and must include job title, duties, month and year start/end dates AND hours worked per week.
Typing Proficiency Requirement: In addition to meeting experience or education requirements, applicants must also be able to type 40 words per minute. Words per minute are based on a 5-minute sample with three or fewer errors.
