Duties

If selected for this position, you will serve as the secretary to the United States Attorney (USA), providing a variety of technical and administrative support services. Typical work assignments will include: Assists the US Attorney (USA) by anticipating and personally undertaking administrative assignments based on a comprehensive knowledge of the policies and views of the USA on significant matters affecting the United States Attorney's Office (USAO). Manages and oversees the day-to-day activities of the immediate office of the USA. Briefs and advises management and staff of the USAO on the current views of the USA on issues facing the organization. Develops and modifies internal office procedures based on an understanding of the mission and function of the USAO, the policies and views of the USA, and the incumbent's understanding of administrative concepts, principles, and practices. Exercises exclusive control over the USA's calendar for all appointments, meetings, engagements, and conferences with complete authority for commitments of time. Independently deals with those matters addressed to the USA that do not require his/her personal attention by referring such to appropriate staff members, or personally performing the work needed to resolve the matter. Develops a variety of recurring reports and documents which involve obtaining information from the staff, subject files or other sources, and formatting the needed information properly in narrative, table, or graph formats. Produces a variety of written documents utilizing varied and advanced functions in one or more types of office automation software. Responsibilities will increase and assignments will become more complex as your training and experience progress.

Requirements

  • You must be a U.S. Citizen or National.
  • Initial appointment is conditioned upon a satisfactory pre-employment adjudication. This includes fingerprint, credit and tax checks, and drug testing. Continued employment is subject to a favorable adjudication of a background investigation.
  • You must be registered for Selective Service, if applicable.
  • If selected, you may be required to complete a one year probationary period.
  • Time-in-Grade: Federal employees must meet time-in-grade requirements within 30 days after the closing date of this announcement.
  • You must meet all qualification requirements within 30 days after the closing date of this announcement and before placement in the position.

Qualifications

GS-10: To qualify for GS-10 Secretary, applicants must have ONE year of specialized experience equivalent to the GS-09 grade level that is directly related to the line of work of this position. Specialized Experience is defined as: serving as an executive secretary to a senior executive (such as a Chief Executive Officer, senior officer in a large firm, or equivalent) and performing a wide range of high-level secretarial and administrative support functions in a legal environment. Examples of specialized experience include managing the schedule/calendar, travel, commitments and correspondence of the executive; review incoming and outgoing correspondence prepared for the executive's signature (i.e., memorandums, letters, case files, legal/action documents, and reports); developing and modifying office procedures; creating written documents utilizing advanced functions in office automation software (i.e., MSWord, PowerPoint, Excel); arranging high level meetings; dealing with senior executives (such as officials of the state and federal government, national or international corporations, and public interest groups); developing background information and writing introductions, speeches and closing remarks to be presented by an attorney at meetings, conferences and other speaking engagements. To be qualified, you must type at least 40 words per minute based on a 5 minute sample with three or fewer errors. (A typing test may later be required.) Career Transition Assistance Plan (CTAP)-The CTAP provides eligible surplus and displaced competitive service employees in the Department of Justice with selection priority over other candidates for competitive service vacancies. If your Department of Justice component has notified you in writing that you are a surplus or displaced employee eligible for CTAP consideration, you may receive selection priority if: 1) this vacancy is within your CTAP eligibility, 2) you apply under the instructions in this announcement, and 3) you are found well-qualified for this vacancy. To be well qualified, you must satisfy all qualification requirements for the vacant position and receive a score of 85 or better on established ranking criteria.
