This position serves as an Executive Assistant with the U.S. Fish and Wildlife Service (FWS), Northeast regional Office. The incumbent assists the Regional Director and Deputy Regional Director in their efforts to provides oral and written orders, instructions, and assignments to subordinates. Duties

As a Secretary (OA) your duties will include, but are not limited to, the following: Supports Regional Director and Deputy Regional Director's efforts to provide guidance, coordination, and direction, both orally and in writing, to the assistant regional directors, regional supervisors, lead secretaries, and other key staff in Washington and the Region, to assure consistency and routine interaction between activity support staff and the implementation of policy and standards. Ensures that the Regional Director's and Deputy Regional Director's priorities, program initiatives, and other Departmental and FWS priorities are incorporated into the Regional work planning. Incumbent is responsible for developing and ensuring Regional processes to assure Regional, FWS, and Department correspondence is effective in meeting established schedules. Maintains the Region's information in the Data Tracking System (DTS) and backup correspondence logs, and determines and assigns which documents above and beyond Headquarters control will receive a Regional Office response and establishes the responding time frames. Actively participates in Regional meetings and records, as required, documentation of information conveyed, actions taken, decisions made, and/or assignments given. Prepares, edits, and distributes meeting notes. Maintains a complicated and changeable computerized calendar for the Regional Director/Deputy Regional Director; and provides copies to the Assistant Regional Directors, staff, and Region's project leaders, for meetings and travel plans.

  • This position requires ability to type 40 words per minute.

Qualifications

Only experience and education obtained by 09/11/2023 will be considered. Minimum Qualification GS-9 One year of specialized experience equivalent to at least the GS-08 level. Specialized experience includes the following: providing dedicated administrative support to a manager or single office/program, such as arranging travel, maintaining calendars and schedules; coordinating highly visible correspondence and information requests; planning and coordinating arrangements for professional meetings and conferences. Minimum Qualification GS-10 One year of specialized experience equivalent to at least the GS-09 level. Specialized experience includes the following: executive level administrative support to a team of senior level managers or to multiple offices/programs, such as arranging travel, maintaining calendars and schedules; coordinating highly visible correspondence and information requests; planning and coordinating arrangements for professional meetings and conferences; and giving guidance to other administrative staff throughout an organization. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Time In Grade Requirement: Applicants must meet both eligibility and qualification requirements for the position of interest by the closing date of the JOA. Specifically, i.
