This position is located in the Employee Health office of the Primary Care Service at the Cincinnati VAMC, under the supervision of the Supervisory MSA. Incumbent shall serve as clerical support for the Employee Health staff.
Duties
Major Duties:
Maintains appointment schedule in any VA mandated Electronic Medical Records (EMR) system. Prepares all papers necessary for each scheduled physical in accordance with guidelines as established by office protocol in advance of scheduled appointment.
Incumbent is responsible for any VA mandated staffing system(s), which purpose is to onboard employees for Federal agencies. Staffing systems offer advanced features that position agencies to recruit, assess, certify, select, and onboard qualified candidates for Federal positions, which includes, but not limited to: Managing applicant records, notifying applicants on the status of their applications, calling and scheduling applicant pre-employment physicals and screenings, and working with various Human Resource employees to onboard applicants in a timely manner.
Receives, schedules, refers, and contacts members of the medical center staff. Provides general clerical public contact support services such as answering the telephone, referring visitors, or providing information. Screens calls to determine if the call requires the attention of the professional staff. Answers calls and supplies the requested information when the questions concern non-medical information the employee is familiar with or can easily obtain.
Processes incoming and outgoing materials such as correspondence, reports, memoranda, and other forms of written communication. Provides general clerical mail and correspondence services such as preparing a variety of recurring reports, reviewing outgoing correspondence for proper attachments, or consolidating/coordinating submittals of information. Research files and assembles background information about incoming material prior to referral to professional staff. Performs typing work using word processing software and equipment. Integrates several types of software to generate specific working documents and forms such as spreadsheets, databases, word processing, PowerPoint, and other similar products. Selects appropriate system, application, and format. Performs typing/word processing at a proficiency level of at least 40 words per minutes.
Provides assistance to medical center employees and/or supervisors in regard to completion of required reports or claims pertaining to state, federal, and medical center regulations and policies (e.g., OSHA, Department of Labor, Office of Workers' Compensation).
Provides assistance when necessary to medical center staff in the use of EMR program software. Acts as liaison to other medical center services such as Infection Control, Safety, Human Resources, Industrial Hygiene, and other. Obtains, collates, and forwards to Industrial Hygiene and Safety office necessary documentation pertaining to Workers' Compensation Claims in a timely manner.
Performs work involving the collection, compilation, and/or tracking of data and statistical information in support of the Employee Health program. Prepares, executes, and/or tracks programs specific information such as tuberculosis control, bloodborne pathogen exposure, worker injury, and medical surveillance programs. Monitors all established Employee Health screening and surveillance programs. Maintains surveillance and medical evaluation records, notifies employees when they are due for evaluations, and schedules appointments.
Plans and establishes office control systems such as those for the control of the location, security, arrangement, access to, and use of office files. Maintains employee medical folders using proper filing methods, and files information in appropriate location within the medical folder. Identifies files associated with separated employees and refers such files to the appropriate Human Resources Management Service staff on a periodic and timely basis.
Performs other related duties as assigned by supervisor.
Work Schedule: Monday - Friday, 7:30am - 4:00 pm or 8:00am to 4:30pm

Physical Requirements: Physical requirements for the position includes intermittent light lifting, reaching, pulling, sitting, and bending, as well as carrying medical records, office supplies and filing.
Promotion Potential: The selectee may be promoted to the full performance level without further competition when all regulatory, qualification, and performance requirements are met. Selection at a lower grade level does not guarantee promotion to the full performance level.

You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-5 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to:
Knowledge of Employee Health regulations and procedures
Working knowledge of the Federal Employee Compensation Act, OSHA regulations, and other occupational related statutes, regulations, and policies
Skilled in utilizing scheduling software
Knowledge of word processing, spreadsheets, and presentation software
Knowledge of correspondence formats and procedures
Ability to prepare responses and memos and provide reports
Knowledge of English, grammar, spelling and punctuation
Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.

Education
