The Management Assistant position is Quality Safety and Value Service, Office of the Director, Miami Veterans Administration Healthcare System, Veterans' Health Administration, Department Veterans Affairs, Miami, FL. The Management and Program Assistant will be responsible for performing a variety of clerical, technical and administrative duties such as task analysis, correspondence control, research, ADPAC support, fact-finding, and data management.

Duties

***THIS IS NOT A VIRTUAL POSITION, YOU MUST LIVE WITHIN OR BE WILLING TO RELOCATE WITHIN A COMMUTABLE DISTANCE OF THE DUTY LOCATION*** Duties include, but may not be limited to: Resource Management Analysis Support: Manages the administrative and technical aspects of administrative investigations, tort claims, peer review and incident reporting programs. Prepare correspondence associated with all Medical Center Administrative Investigation Boards and Risk and Quality related activities. Composes charge letters and memorandum as guided by the Risk Manager and includes a summary of the subject to be investigated, for the Director's signature approval. Works closely with Board members throughout the investigation process to provide administrative support, instruction, and guidance. Assists the Risk Manager with the Tort Claim, Peer Review process, Service Review, and other quality and risk related process. Inputs all data into the appropriate reporting tracking system, generates all correspondence associated with administrative work and medical reviews (internal and external), including initial notification, denial or case settlement to providers requests for reviewers from each Service involved in the claim. Records Management Support: Supports the evaluation, analysis, and/or control of the data and records within the Risk Management and Quality Management Programs. Identifies and recommends ways of eliminating, combining, simplifying, or improving procedures and processes, provides technical advice and assistance to supervisor and staff in the Risk Management and Quality Management Service. Clerical: Provides assistance in the controlling of and monitoring of the facilities supplies, personnel, equipment and/or financial resources. Organizes, and prepare medical records for Federal Express delivery to the Office of Medical and Legal Affairs for the National Practitioner Data Bank panel review after claims are paid. Drafts memos and letters and notifies providers in writing. Administrative: Serves as the secondary ADPAC Coordinator for QSV Service - in the absence of primary ADPAC Coordinator, he/she provides computer support to QSV staff, troubleshoot computer hardware and software problems; submit electronic work orders; request network access and computer menus and performs data entry of QSV indicators. Serves as the Recorder for the Peer Review Committee. In addition, he/she is the alternate recorder of the QSV Service staff meetings. SPECIALIZED EXPERIENCE GS-6: Applicants must have one (1) full year of specialized experience that equipped them with the knowledge, skills, and abilities (KSA's) to successfully perform the duties of this position, and that is typically in or related to the work of this position. To be creditable, this experience must have been equivalent to at least the GS-5 level in Federal service. Examples of qualifying specialized experience include having knowledge and skill in applying analytical and evaluative techniques to identify and solve issues or problems of a procedural nature typing computers; skill in applying and interpreting directives, written guidelines, and local policy that involve work methods and procedures, and laws and regulations regarding Risk Management and Performance Improvement Programs; uses proper grammar, spelling, format and punctuation; understanding of administrative principles related to creating correspondence, filing, storing files and maintaining records in a confidential manner; adeptness to extract and analyze data contained in written documents and reports to correct errors and/or omissions; ability to effectively communicate orally and in writing to present clear and concise expressions of program information to others; capable of organizing and prioritizing the workload in order to meet deadlines; skill in using various computer software programs to input data and produce correspondence, reports and chart graphs and s (i.e., Microsoft Word, Excel spreadsheet, Access database, and Outlook exchange). All experience listed on your resume must include the month and year start/end dates. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Physical Requirements: The work is mostly sedentary. It may involve some walking, standing, bending, or carrying of light items such as books, binders, office supplies and papers up to twenty-five (25lbs) pounds. Work requires sustained attention to detail with frequent stress of short deadlines for action.
