This position is assigned to Rehabilitation Extended Care Line (RECL) located at the Michael E. DeBakey VA Medical Center. The incumbent functions as a program and administrative assistant to the RECL with particular emphasis on support of the Home-Based Primary Care (HBPC) program, the HBPC Medical Director and the Extended Care clinics.
Duties
Handling data, coordinating schedules, organizing resources, and interfacing with diverse population groups.
Utilizes a variety of software programs and communication tools to input and retrieve data as required.
Accurately collects, enters, and manages data, including both patient data and program data.
Providing data/reports related to the administrative, clinical, and technical aspects of the program to the RECL managers and supervisors.
Collecting, compiling and/or entering statistical information to support the RCL management and program operations.
Tracks achievement on performance measures, goals, and objectives, such as FSOD, staff workload and productivity, consult completion, etc.
Uses software applications to draw information from a wide variety of sources in order to prepare reports.
Assists in the planning, review, and reporting of data/statistical results of program studies.
Utilizes statistical data to compile monthly workload reports as requested for RECL staff.
Performs a variety of administrative functions and assignments necessary for the smooth management of the Home-Based Primary Care program and the therapy clinics.
Responsible for supply management functions including identifying necessary products, supplies, and/or equipment, and the tracking and distribution of equipment and supplies to the various end points within RECL.
Provides support to the Home-Based Primary Care staff such as treatment bag preparation, screening calls and visitors, taking messages, directing questions to appropriate clinical staff or other administrative staff.
Providing directional assistance for patients and families, and other related duties as assigned.
Maintains a calendar of appointments of patients, meetings, conference calls, and scheduled leave as well as coordinates meetings, prepares travel papers, schedules conferences.
Preparing and coordinating reports for all Home-Based Primary Care patients; grant proposals and research for RECL and/or HBPC programs; administrative correspondence for the RECL.
Work Schedule: Monday - Friday, 8:00 am - 4:30 pm, subject to change based on the needs of the Agency.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 09/13/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Providing administrative support such as being the first point of contact by phone or in person, routing information, and crating meeting minutes; Utilizing electronic systems to gather, review, input, update, access, organize, process, and to maintain information for use in litigation and/or to accomplish time or case management functions; Experience in supporting a Patient Aligned Care Team (PACT) in an outpatient and/or in-home environment. Note: This experience must be fully documented on your resume and must include job title, duties, month and year start/end dates AND hours worked per week.

Physical Requirements: The work is basically sedentary in a clinic environment. Some bending, standing, and carrying of supplies may be required. Some walking to all parts of the facility is required since the incumbent will be working with a variety of clinical and administrative services.
