The Clerk's Office of the United States District Court for the District of Oregon is now accepting applications for the position of Case Administrator in the Eugene Division.
Duties
As a member of the case management team, the Case Administrator manages the progression of civil and criminal cases and related proceedings from opening to final disposition. The incumbent performs docketing, monitors the completion of the required procedural steps, and performs the necessary noticing and administrative and clerical tasks.
Responsibilities
Provides assistance and support to customers over the phone and in person. Monitors the quality and completeness of official case records to ensure compliance with rules, regulations, and policies.
Receives and reviews incoming documents to determine conformity with appropriate rules, practices, and court requirements. Collects appropriate fees. Assures proper assignment of case numbers and random assignment of cases to judges.
Maintains accuracy of official case records from opening to final disposition. Reviews the quality of electronically filed documents by court users, the bar, and unrepresented parties, ensuring that all orders and automated entries are appropriately and accurately docketed. Monitors proper access to records and provides notice to parties as required by law.
Prepares and distributes monthly and quarterly statistical reports. Assists in the accurate statistical reporting requirements of the Administrative Office.
Performs edits and corrective actions to ensure accuracy of data, files, and records. Archives records.
Dockets orders, pleadings, judgments, and minutes of proceedings as directed by local court policy, utilizing applicable automated systems.
Serves as a backup courtroom deputy as needed. Coordinates hearings with parties, court staff, and law enforcement, sets up and operates courtroom technology, and dockets minutes of proceedings and other documents received at hearings.
Assists jury staff with jury and grand jury activities including issuing summons, processing requests for deferral and excusal, check-in and orientation, taking attendance, and collecting travel documentation.
Provides backup coverage for other teams, including the intake and finance teams.
Qualifications
Minimum one year of specialized experience.
Specialized experience: Progressively responsible clerical or administrative experience requiring the regular and recurring application of clerical procedures that demonstrate the ability to apply a body of rules, regulations, directives, or laws and involves the routine use of specialized terminology and automated software and equipment for word processing, data entry or report generation. Such experience is commonly encountered in law firms, legal counsel offices, banking and credit firms, educational institutions, social service organizations, insurance companies, real estate and title offices, and corporate headquarters or human resources/payroll operations.
Desired Qualifications: Bachelor's degree from an accredited college or university. Experience in a legal setting, and CM/ECF (Case Management/Electronic Case Filing) experience is highly desirable.

Education
