The Secretary position is at the full performance level and is located at New Mexico VA Health Care System (NMVAHCS), Pharmacy Service. The primary purpose of the position is to coordinate the administrative and clerical work for Pharmacy Service.
Duties
MAJOR DUTIES AND RESPONSIBILITIES:
Establishes and maintains service files generated by and for the Pharmacy Service office.
Responsible for miscellaneous periodic occurrences such as the Combined Federal Campaign. Assists in investigating problems that require special attention/action, i.e. Congressionals, and/or suspenses.
Ensures the establishment of and maintains a database system for tracking/monitoring Pharmacy Service correspondence requiring a response.
Assists other personnel, within Pharmacy Service, on procedural matters and/or makes recommendations or suggestions for handling administrative matters.
Ensures/maintains the attendance/leave records for staff and assists in the preparation of timecards for signature.
Responsible for: 1) protecting that information from unauthorized release or from loss, alteration, or unauthorized deletion, and 2) adhering to information security policies with OI&T and the Medical Center as provided by regulation and VA policy and guidelines.
Ensures that visitors and telephone calls to Pharmacy Service are responded to and received professionally and the dispositions are timely and accurate.
Serves as an alternate travel coordinator, or, at a minimum, serves in a collaborative role with internal and external staff to ensure timely, effective arrangements, including making transportation and hotel reservations utilizing applicable software programs.
Ensure that the leadership activities are scheduled timely and accurately, keeping a computer based calendar system.
Assists in maintaining control and assures maintenance of Pharmacy Service equipment inventory and locations, work orders, supply requests, and controlled correspondence system.
Responsible for maintaining Pharmacy Service personnel folders coordinating and ensuring that all necessary data/information for service Education Reports, including position-specific competencies, policies and procedures, evaluations and miscellaneous training are present.
Compiles data and prepares reports to assist in the analysis and trending of Pharmacy Service programs.
Work Schedule: Monday- Friday, 8:00am-4:30pm

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 09/11/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-6 position you must have served 52 weeks at the GS-5. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-5 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: performing clerical/administrative duties in an office environment; answering and directing phone calls; receiving visitors; preparing correspondence; maintaining files/records; and using a computer to perform a variety of support tasks; scheduling and managing a calendar of appointments. At this grade level, applicants should have good verbal and written communication skills and the ability to perform assignments independently with minimal oversight.

Physical Requirements: Regular and recurring work is mostly sedentary involving sitting at a desk, although the position requires the ability to move from one geographic location of the facility to another. The incumbent works with a computer screen and keyboard. Some physical effort such as standing, walking, bending or prolonged sitting may be required. The incumbent may be exposed to walking to outlying areas. The work places no special physical demands on the employee.
