Duties

***THIS IS NOT A VIRTUAL POSITION, YOU MUST LIVE WITHIN OR BE WILLING TO RELOCATE WITHIN A COMMUTABLE DISTANCE OF THE DUTY LOCATION*** This position involves a multi-grade career ladder. The major duties listed below represent the full performance level of GS-8. At the GS-7 grade level, you will perform assignments of a more limited scope and with less independence. You will progressively acquire the background necessary to perform at the full performance level of GS-8. Promotion is at the discretion of the supervisor and is contingent upon satisfactory performance, availability of higher-level work, and availability of fund The major duties and responsibilities include but are not limited to: Serves as office manager for the Associate Director Patient Care Services' (ADPCS) office. Acts as liaison between the Associate Director, Patient Care Services (ADPCS) and staff throughout the medical center by providing accurate and timely advice and procedures, report requirement, and other matters necessary to implement the Associate Director, Patient Cares Services' policies, directives, and instructions. Control the Associate Director, Patient Care Services' activity schedule, establishing priorities, set-up, reschedules or refuses appointments, accepts, or declines invitations to meetings, arranges representation by a subordinate official what that is desirable. Makes commitments to attend meetings without prior approval based on personal knowledge of supervisor's workload and current issues of importance. Receives visitors and telephone calls to the Associate Director, Patient Care Services, determines nature of call or visits. Schedules official committee and board meetings, including making reservations for meeting rooms and notifying all participants. Attends and records official minutes for meeting and committees as assigned. Assists in implementing supervisor's intentions by contacting subordinate offices with requests for information and/or relaying instructions or suggestions. Serves as back-up in the absence of the Director, Assistant Director, and Associate Director's Secretaries, which includes maintaining calendar, correspondence, and electronic mail communication, scheduling meetings, making travel arrangements, preparing vouchers, typing duties, screening incoming telephone calls and visits. Serves as alternate timekeeper for the Director's Office as well as for the Associate Director, Patient Care Services, and Clinical Service Chiefs. Adheres to ADP matters, guidelines, protocols, and procedures as established by the station/agency policies. Serves as ADPAC for the Director's Office. Performs other duties as assigned. ENGLISH LANGUAGE PROFICIENCY: In accordance with 38 U.S.C. 7402(d), No person shall serve in direct patient care positions unless they are proficient in basic written and spoken English. You must be proficient in basic written and spoken English in order to meet the requirements of this position. and TYPING PROFICIENCY: This position requires the skills of a qualified typist. In addition to meeting the experience and/or education requirements, you must be able to type at least 40 words per minute. and SPECIALIZED EXPERIENCE: GS-7: You must have one (1) year of specialized experience that equips you with the knowledge, skills, and abilities to successfully perform the duties of the position. To be creditable for the GS-07 the experience must have been equivalent to the GS-06 in Federal service. Specialized experience involves having a basic foundation of administrative concepts, principles and practices; resolving conflicts, determining new procedures, evaluating office equipment, etc.; having a comprehensive knowledge of the supervisor's polices and views on all significant matters affecting the organization; understanding of various office automation software programs, tools, techniques to support office procedures and produce a variety of documents such as letters, reports, spreadsheets, databases, and graphs; having an understanding of methods for rank ordering priorities improving office systems, establishing effective business communications; having skills in the use of office automation equipment and software; ability to communicate effectively orally and in writing; receiving visitors and responding to telephone calls; scheduling appointments and coordinating meetings, maintaining calendars, and processing incoming and outgoing materials such as correspondence, reports, memoranda and other form of written communication; and having an understanding of the schedules and expectations of executive leadership sufficient to seamlessly provide clerical support. OR Specialized Experience GS-8: You must have one (1) full year of specialized experience equivalent to the next lower grade level (GS-7) in Federal service that has equipped you with the knowledge, skills, and abilities to successfully perform the duties of the position, and that is typically in or related to the work of the position to be filled. All experience listed on your resume must include the month and year start/end dates. Part-time experience will be credited on the basis of time actually spent in appropriate activities. You will receive credit for all qualifying experience, including volunteer experience. Physical Requirements: The work is sedentary. Typically, the employee may sit comfortably to do the work. However, there may be some walking; standing; bending; carrying of light items such as papers, books, small parts; driving an automobile, etc., and occasionally assisting handicapped individuals. No special physical demands are required to perform the work.
