This Advanced Medical Support Assistant position is located within the Compensation and Pension Primary Care Service section at the VA Medical Center in Bay Pines, FL. C&P is a special interest program that requires frequent monitoring to meet the performance requirements mandated by VHA regulations/directives and Public Laws. This position will perform all delegated administrative duties associated with the complete processing of disability examinations.
Duties
The Advanced Medical Support Assistant coordinates activities, serves as subject matter expert and liaison between the C&P department and VA Regional Offices, Veterans Benefits Administration (VBA), VBA Appeals Management Team, DOD under contract/sharing agreement(s), and other government agencies to comply with Federal entitlement guidelines for veterans. Coordination of C&P examinations include, but not limited to Environment of Care, Burn Pit, Agent Orange, Persian Gulf, Quick Start, Benefits Delivery at Discharge (BDD), Board of Veteran Appeals, Integrated Disability Evaluation System (IDES), and Incarcerated Veteran requests.
Major Duties and Responsibilities:
Responsible for processing all requests from VA Regional Offices
Schedules all appointments into the decentralized hospital computer
Proficiently utilizes Windows Office products
Responsible for updating and changing pre-appointment, cancellations and no show letters, and appointments
Have a comprehensive understanding of medical procedures, terminology, and preparation requirements
Will function as a timekeeper for full time staff and fee staff
High degree of skill in communication
Performing other related duties as assigned

BASIC REQUIREMENTS:
Citizenship: Citizen of the United States. (Non-citizens may be appointed when it is not possible to recruit qualified citizens in accordance with VA Handbook 5005, Part II, Chapter 3, Section A, paragraph 3.g.).
English Language: MSAs must be proficient in spoken and written English in accordance with VA Handbook 5005, Part II, Chapter 3, Section A, paragraph 3.j.
Experience and Education:
(1) Experience. Six months experience of clerical, office, customer service, or other [administrative] work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position; OR,
(2) Education. One year above high school; OR,
(3) Experience/Education Combination. Equivalent combination of experience and education are qualifying for entry level for which both education and experience are acceptable.
Certification: None required.
GS-06 Advanced Medical Support Assistant
At least one year of experience equivalent to the next lower grade level GS-5. Experience at this level includes but not limited to: answering phones, greeting patients, relaying messages to appropriate staff inside or outside of the unit, scheduling appointments, including interpreting and verifying provider orders in accordance with VHA national scheduling guidelines. Assignments at this level include, but are not limited to: scheduling, canceling, re-scheduling [patient appointments and/or consults; entering no-show information; monitoring appointment requests from multiple electronic sources; participating in huddles with other MSAs and/or clinic staff to determine the daily needs of the clinic, monitoring both inpatient and outpatient appointments in areas of responsibility; verifying and updating demographics and insurance information when patients check-in for appointments. Coordinates administrative functions relating to] emergency and non-emergency transfers to other VA facilities or private hospitals [and determines appointment type based on the patient's] eligibility status (i.e., TRICARE, sharing agreements, collaterals, research patient, VA employee, AND
In addition to the experience above, the candidate must demonstrate the following Knowledge, Skills, and Abilities:
Ability to organize work, set priorities, and delegate tasks /responsibilities to meet deadlines.
Skill in communicating with individuals to obtain the desired effect, ensuring compliance with established policies and regulations.
Ability to provide staff development and training.
Ability to manage staffing requirements, manage priorities, and coordinate with staff in the unit to complete duties in an accurate and timely manner. This includes the ability to follow-up on pending issues and demonstrate an understanding of the impact of incomplete work.
Ability to review and monitor data to ensure all reports are complete and accurate.
Education: There is no education substitute for experience for the GS-6 Advanced Medical Support Assistant position.

Physical Requirements: The majority of work is performed in an office setting, primarily while seated. The position requires some standing, ambulation, bending and carrying of items such as training manuals.
