Duties
The Supervisory Medical Support Assistant is assigned to supervise a Medical Support Team in the Health Administration Service (HAS) at the VISN 8 Clinical Contact Center (CCC).

Qualifications
Basic Requirements:
United States Citizenship: Non-citizens may only be appointed when it is not possible to recruit qualified citizens in accordance with VA Policy.
Experience and Education:
(1) Experience. Six months experience of clerical, office, customer service or other administrative work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position; or
(2) Education. One year above high school; or
(3) Experience/Education Combination. Equivalent combination of experience and education are qualifying for entry level for which both education and experience are acceptable.
English Language Proficiency: Advance Medical Support Assistants must be proficient in spoken and written English in accordance with VA Handbook 5005, part II, chapter 3, section A, paragraph 3j.
May qualify based on being covered by the Grandfathering Provision as described in the VA Qualification Standard for this occupation (only applicable to current VHA employees who are in this occupation).
Preferred Experience:
3-4 years of experience in scheduling and administrative oversight.
Grade Determinations:
One year of experience at or equivalent to the next lower grade level of GS-7.
Please Note: Education cannot be used to substitute for grade levels above the full performance level.
GS-8 Assignments at this level include, but are not limited to:
Leading or supervising MSAs; monitor and maintains work assignments; provide input on performance; resolve daily workplace issues and maintains efficient workflow; ensure coverage of all areas of responsibility; conduct ongoing reviews to ensure quality of work; ensure accurate and timely scheduling of appointments; provide guidance to staff members to include changes in policies and procedures; distribute and balancing workload; create and maintain employee work schedules; orientate and provide on-the-job training for new and current employees; ensure all training requirements are met; organizing the work structure of his/her assigned areas; act as a liaison between MSA and staff in order to resolve day to day conflicts; responsible for extracting and analyzing data in order to provide reports in support of performance measures to senior management.
NOTE: The GS-8 is above the full performance level for this occupational series.
Applicants must also demonstrate these Knowledge, Skills and Abilities (KSAs):
1. Ability to provide the full range of administrative and supervisory duties which includes assignment of work, performance evaluations, selection of staff, and recommendation of awards and/or advancements.
2. Ability to collaborate, communicate, and demonstrate customer service and interpersonal skills with all healthcare professionals to ensure quality/continuity of care and ensure compliance with established policies and regulations.
3. Ability to provide briefings, orientations, staff development, and training.
4. Ability to manage fiscal matters, forecast resource and equipment needs, and identify budget needs.
5. Advanced knowledge of managing or leading patient support staff in a clinic to include independently utilizing reference sources, decision making, and empowering the team to collaborate and resolve problems within a complex systems environment.

Physical Requirements: The work is sedentary. Some work may require walking in offices, hospitals, warehouses and similar areas for meetings and to conduct work. Work may also require walking and standing in conjunction with travel to and attendance at meetings and conferences away from the worksite. Incumbent may carry light items.
