This position is located in the Geriatrics and Extended Care Service within the Veterans Affairs Medical Center, Louisville, Kentucky and encompasses an interdisciplinary, multifunctional array of programs and services to meet the needs of chronically-illpatients, so they may remain in their own homes. The person in this position will serve as a Program Support Assistant under the administrative supervision of the GEC Administrative Officer.

Duties

Programs within the Geriatrics and Extended Care Service included: Home Based Primary Care (HBPC), Home and Community Based Services (HCBS), Homemaker/Home Health Aide (HM/HHA), Hospice and Palliative Care (HPC), Care Coordination / Home Telehealth (CC/HT), Adult Day Health Care (ADHC) Program and the Medical Care Foster Home Program. The diverse responsibilities of the Program Support Assistant result in involvement on a daily basis with the Associate Chief of Staff for Geriatrics and Extended Care (GEC) Service, Clinical Program Manager for GEC, the Administrative Officer for GEC, GEC patients, other services within LVAMC and community programs.Major duties for the Program Support Assistant (OA) include (but are not limited to): Performs work involving the collection, compilation, and/or tracking of data and statistical information in support of an organization's program operation. Provides input into the design of data collection instruments and procedures; selection of appropriate measures and techniques; study implementation and interpretation of results. Performs data entry and other data processing tasks. Responsible for completeness, accuracy, and accessibility of data for analytical purposes. Manages database for data entry of demographic data, provider-specific clinical data, historical data, and patient-related data. Prepares, executes, and/or tracks program specific information, such as meeting minutes, average daily census reports, FOIA requests, congressional inquiries, and contract data within the service. Uses software applications to draw information, e.g., from the Computerized Patient Record System (CPRS), Veterans Integrated Support and Information Application (Vista), Microsoft Access, Excel, and Outlook. Also monitors the VA Electronic Contract Manager System (eCMS) in order to prepare/assist in preparation of reports. Incumbents abstract and edit patient records or other pertinent research and quality assessment data; retrieve patient information from other clinical/management settings and other computer systems; abstract and analyze published and unpublished documents, patient records, other pertinent research and clinical databases. Prepare treatment plans, patient care reviews, and discharge summaries. Performs work related to the acquisition and/or development of program information and resource materials/personnel to support the policy development and/or technical activities of the organization. Performs library research functions, including file or database searches. Researches various publications to extract, summarize, and compile information required for the activities of the organization. Assists in the acquisition, development, and/or scheduling of program resource materials and personnel, such as hard copy and computer-based brochures and reports, agency staff and/or volunteer personnel, and/or needed program equipment such as telephones, computers and printers, fax machines, etc. Monitors all aspects of the operating programs and makes recommendations to improve or modify methods for disseminating information to intended audiences. Maintains an orderly and adequate level of program supplies. Schedules agency staff and/or volunteers as required. In person or on the telephone, employees maintain a pleasant and helpful attitude when dealing with professional and non-professional staff, co-workers, applicants, supervisors, management, union representatives, government representatives, and the general public. Employees must arrange suitable accommodations and coordinate times with various hospital personnel for meetings, compiling agendas, and attend and record proceedings. Interacts with veterans and other beneficiaries, in person or by telephone. Puts them at ease by listening to their requests, questions, or complaints, and appropriately provide answers or information, gives guidance, and initiates action when called for. Shares any information obtained from the patient or family with the clinical staff to assist in diagnosis, treatment and appropriate referral. Performs other duties as assigned. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 08/28/2023. You may qualify based on your experience described below: Specialized Experience: GS-06 grade level: One year of specialized experience (equivalent to the GS-05 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Specialized experience includes: Experience providing clerical and administrative support in an office setting; using various office software such as Word, Excel, and PowerPoint; creating and generating reports; coordinating, planning, and organizing administrative duties; preparing meeting agendas and minutes; communicating orally and in writing to internal and external customers; researching various publications, manuals, handbooks, and policies; analyzing, extracting, tracking, summarizing, and compiling information for reporting and review; preparing correspondence; providing customers with consistent information according to established policies and procedures, etc. Proficiency Requirements: In addition to meeting experience or education requirements, applicants for these positions must show possession of the following skills, as appropriate. Applicants may meet these requirements by passing the appropriate performance test, presenting a certificate of proficiency from a school or other organization authorized to issue such certificates by the Office of Personnel Management local office, or by self-certifying their proficiency. Performance test results and certificates of proficiency are acceptable for 3 years. Agencies may verify proficiency skills of self-certified applicants by administering the appropriate performance test. 40 words per minute typing speed You will be rated on the following Competencies for this position: Attention to detail Communications and Media Data Management Decision Making Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: The work is sedentary. Typically ,the employees its comfortably to do the work. However ,there may be some walking; standing; bending; carrying of light items such as papers, books, small parts, etc. No special physical demands are required to perform the work.
