The position is located in the office of the ACOS, Medicine Service and is an integral member of the Medicine Service Administration staff, providing administrative support to the ACOS in managing communications and suspense's with stakeholders and customers. The incumbent coordinates major events and meeting for the ACOS. The incumbent assures appropriate protocols are maintained in the viewing, use, secure storage and disposition of confidential and sensitive information.
Duties
Screens calls, visitors, and incoming mail, responding to queries on behalf of the ACOS and redirecting those best served by other staff as appropriate.
Manages the ACOS' official calendar; scheduling appointments without the ACOS direct approval.
Schedules and coordinates Medicine Service meetings and events involving other non-governmental organizations.
Drafts executive correspondence, policy and procedure documents, white papers and related materials to reflect the ACOS' views and positions.
Takes meeting minutes for leadership meetings; uses judgement to capture salient points and commitments made. Ensures completeness, obtains clarification and verifications as appropriate and ensures timely distribution.
Develops, manages and maintains the suspense and congressional correspondence management system for Medicine Service.
Tracks and monitors commitments and assignments; obtains and reports the status of each to the ACOS and service leadership.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 09/01/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-6 position you must have served 52 weeks at the GS-5. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
You may qualify based on your experience and/or education as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: receiving visitors and answering telephone calls; maintaining daily calendars, making appointments, and arranging conferences and meetings; preparing travel orders/vouchers; preparing recurring and one time reports; and proofing outgoing material (correspondence, papers, speech and briefing materials).

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements: Work is primarily sedentary. There will be limited walking; standing; bending, and lifting of equipment and supplies weighing less than 40 pounds. In emergent situations, long hours may be required.
