The Torts Branch, Constitutional and Specialized Tort Litigation (CSTL), Vaccine Injury Compensation Program (VICP) is seeking well organzied and efficient Staff Assistants. The incumbents will provide direct administrative support to the Deputy Director and Assistant Branch Directors. The incumbent will be responsible for ensuring that practices and procedures are consistent with established policies and regulations.

Duties

As a GS- 0301-9, your typical work assignments may include the following: Processes bills for payment under the Prompt Payment Act. Verifies rendered services and prepares justifications. Interfaces with appropriate staff regarding the Division's automated case management information system. Performs and monitors administrative management requirements, including applying policies, maintaining various systems, handling other staff requirements, and managing office operations. Communicating with internal/external stakeholders to assess their needs, provide information or assistance, resolve their problems, and/or satisfy their expectations. Gathering information to assist with drafting standard operating procedures for approval. Writing a variety of standard responses to requesters via formal letters, memoranda, or other written communication such as email with or without standard templates. Maintaining the calendar and scheduling meetings for senior executives. Monitoring incoming/outgoing correspondence and action documents to ensure responses are prepared and deadlines are met. Acting as a liaison with senior staff to transmit information and instructions and ascertain the progress and/or expedition of the completion of assignments. Assisting with modifying meeting schedules due to unforeseen developments such as determining relative priority among competing questions or problems.

Requirements

  • You must be a United States Citizen or National.
  • You will be required to complete a pre-employment security investigation and background check which includes a drug screening.
  • You may be required to complete a one-year probationary period.
  • Selective service registration is required for males born on, or after, December 31, 1959. Those not registered should have an approved exemption on file.

Qualifications

To qualify for the position of Staff Assistant , GS-0301-9 , you must meet the basic qualification requirements listed below AND possess the required specialized experience specific to this series and grade you're applying to. If you are a current or former government employee on a permanent appointment in the competitive service, you will need to demonstrate 1-year (52-weeks) at the next lower grade level as listed in the qualifications below. Time-in-Grade applies if you are in a current GS position or held a GS position within the previous 52 weeks. Additionally, please ensure to submit an applicable SF-50 (please refer to the "required documents" section for additional information). For GS-09 Grade Level: A. You must have at least one year of specialized experience, equivalent to the GS-07 level in the Federal service that includes performing all of the following: - Monitoring office activities to ensure timeliness, consistency and completeness. - Implementing new procedures using a knowledge of administrative policy and procedures. - Making travel arrangements and maintaining supervisor's calendar. - Collaborating with others orally and in writing. OR B. Possess a master's or equivalent graduate degree or two (2) full years of progressively higher level graduate education leading to such a degree in any field of study from an accredited college and/or university or LL.B. or J.D., if related. One year of full-time graduate education is considered to be the number of credit hours that the school attended has determined to represent 1 year of full-time study. If that information cannot be obtained from the school, 18 semester hours should be considered as satisfying the one (1) year of full-time study requirement. OR C. Possess a combination of experience as descried in "A" above and education as described in "B" above. A combination of education and experience may be used to qualify for this position as long as the computed percentage of the requirements are at least 100%. (To compute the percentage of the requirements, divide your total months of qualifying experience by 12. Divide your total semester hours of graduate education by 36. Add the two total percentages.
