This position is aligned under the Engineering Service within the Maintenance and Operations section at the South Texas Veterans Heath Care System in San Antonio, TX. The purpose of this position is to provide a wide variety of clerical and administrative functions for the Maintenance and Operations
section.
Duties
The general responsibilities of this position are to provide administrative assistance to the Maintenance and Operations Foreman, provide administrative and clerical support for Maintenance and Operations programs, projects, and employees, and serve as the main point of contact and liaison for the work order request program.
Prepares, verifies, and/or closes out work order, files, reports, or records. Updates and maintains the currency of work order documents or related information, tracks the status of requests, inquiries, and orders using automated files and contacts.
Assembles work order file information and enters orders or data into the work order system.
Manages the workflow and access of the work order program; develops policies and procedures for the administrative operations of the program, and develops systems that account for, track and control work order items and actions.
Reviews documents, policies, procedures, and standard operating procedures related work order requests for proper formatting, grammar, punctuation, spelling, and capitalization.
Enters, maintains and work order information and statistical data from VISTA reports. Performs data entry of all work orders, updates, and pertinent information.
The incumbent is responsible for Back up to Transportation and Lock Shops. Issues Keys for both shops.
The incumbent is responsible for processing PMs monthly and issuing to M&O Shop Supervisors.
Processes incoming and outgoing mail, including Outlook (Electronic Mail). Sorts outgoing mail and checks for presence of indicated enclosures. Screens outgoing materials for proper format and assure they are assembled and addressed.
Screens and routes all incoming phone calls. Maintains calendar and schedule for Maintenance and Operations Supervisor Office. Gathers general information in response to requests and inquiries by management, supervisory staff, service employees, and customers.
Incumbent will attend all weekly EOC, MHEOC, AED and unannounced rounds. After attending rounds incumbent will enter VISTA work orders for all M&O items. Incumbent will ensure all items are completed in correct timeframe.

Qualifications

You may qualify based on your experience and/or education as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-04 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: skills of a qualified typist, general knowledge of computer software including word processing, spreadsheet, database, graphic design, mail merge, management information systems, in order to input and obtain data, prepare reports and correspondence, store workload statistics, and accomplish program analysis.. OR,
Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have four years above high school. OR,
Combination: Applicants may also combine education and experience to qualify at this level.

Physical Requirements: The work is sedentary. Some work may require movement between offices, hospitals, warehouses, and similar areas for meetings and to conduct work. Work may also require walking/standing, in conjunctions with travel to and attendance at meetings and/or conferences away from the work site. Incumbent may carry and lift light items weighing less than 15 pounds.
