Duties

WHAT YOU'LL BE DOING DAY TO DAY As an Executive Assistant, you will use your knowledge of and experience with the Immediate Office of the Secretary (IOS) to optimize business results and customer experience by: Ensuring organizational programs, priorities, administrative practices, and procedures are consistent, efficient, and supportive of management objective. Establishing and installing administrative processes and recommending changes to procedures impacting relationships internal and external to the organization. Assisting the senior leadership with regard to disposition of grievances and communicating management's position with regard to contract administration. Attending meetings, briefings, and conferences as appropriate on matters relating to senior leadership activities, actions, and programs. Preparing charts, graphics, and tabular presentations of data; coordinating, compiling, and analyzing statistical information; researching and defending program issues and preparing analysis and position papers for use by senior leadership during meetings. Coordinating with internal and external stakeholder concerning responses to all incoming action items which impacts Headquarters and Field Offices. Reviewing incoming correspondence, administrative project directives, and procedural changes, and assigning suspense dates to appropriate staff as well as provides guidance on standards of completion to meet all assignment requirements. Informing staff of new or revised administrative processes and related procedures; follows up to ensure prompt and timely implementation. Performing a wide variety of continuing and special assignments of a confidential or sensitive nature for senior leadership, as well as, affecting organizational operations.

Qualifications

WHAT WE ARE LOOKING FOR Minimum Qualifications: Must have at least one year of specialized experience, equivalent to the GS-11 level in the Federal service performing all of the following: 1) Managing sensitive and confidential documents and reports to obtain approval from necessary senior leadership; 2) Reviewing various materials (for example correspondence, approval packages, assessments etc.) for complete content, factual accuracy, formatting, grammar and spelling; and 3) Assisting in the development of office operational guidance, procedures, and automated administrative solutions.
