The Raymond G Murphy Department of Veterans Affairs Medical Center is currently recruiting for a Secretary to work in the Engineering Services, Albuquerque, NM. The position performs duties to assist one individual, and in some cases the subordinate staff of that individual, by performing general office work auxiliary to the work of the organization. The position is the principal clerical or administrative support position in the office.
Duties
The duties require knowledge of clerical and administrative procedures and requirements, various office skills, and the ability to apply such skills in a way that increases the effectiveness of others. The duties do not require a technical or professional knowledge of a specialized subject-matter area. The primary purpose of this position is to perform numerous tasks which are dissimilar in kind, but which have in common the purpose of assisting the work of one or more persons in an organization.
The incumbent performs a full range of duties in support of the office, including such duties as requisitioning supplies, printing, or maintenance service; filling out various travel forms for staff members; arranging for meeting rooms; composing correspondence and preparing recurring and ad hoc reports.
Major duties include but are not limited to:
Maintain service files generated in accordance with facility guidelines.
Receives and screens visitors and telephone calls, i.e. identity, purpose of call and relative importance in relation to availability of staff members. Escorts/refers callers to proper personnel.
Maintains calendars and makes appointments in accordance with established practice or special instructions.
Ensure/maintain the attendance/leave records for staff and/or assist in the preparation of time cards as required.
Assists in development of annual training plans assuring that budgetary guidance is followed and periodically advises staff of training opportunities.
Provides advice and guidance to staff on clerical and administrative matters and provides administrative support to the office. Ensure that visitors and telephone calls are responded and/or received in accordance with clinical guidelines.
Serve as alternate travel coordinator to the Service as required.
Ensure that the Chief's activity is scheduled timely and accurately as needed.
Assist in maintaining controls and/or assure i.e. equipment inventory and/or location, work orders, supply requests and controlled correspondence system.
Ensure that all necessary data/information for service Education Reports i.e. position specific competencies, policies and/or procedures, evaluations and miscellaneous training are present.
Assists with preparation of unit budget, responsible form, completes employee timekeeping, and obtains supplies for unit as applicable.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 08/25/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.

You may qualify based on your experience and/or education as described below:
Specialized Experience: In addition to meeting time in grade, you must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: written and oral communications, running reports, and maintaining electronic calendars and scheduling.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.
Physical Requirements: No special demands or qualifications are required to perform the work. The work is predominantly sedentary; however, it includes walking, standing, bending and carrying of light item, such as files and papers.
