As an Administrative and Program Assistant you will be responsible for various administrative, office automation and support duties for the program Director. Also, you will be responsible for the accurate tracking and reporting of administrative activities and program accomplishments.
Duties
The duties described are for the full-performance level. At developmental grade levels, assignments will be of more limited scope, performed with less independence and limited complexity.
The duties may include, but are not limited to:
Monitors progress of the projects by establishing records of timetables and deadlines and tracking completion.
Gathers and evaluates information to prepare a variety of reports.
Tabulates, reviews, and evaluates data for performance measurement systems.
Maintains databases and tracking spreadsheets for administrative activities.
Receives and tracks personnel actions and maintains the organizational charts.
Receives visitors and telephone calls using judgment to determine where to refer call or take care of personally.
Arranges appointments and conferences for supervisor based on a knowledge of work schedules and prior commitments.
Requirements

- You may be exposed to risks and hazards of harmful biological, chemical and physical agents while working/reaching into incubators, hoods, centrifuges and other automated equipment.
- You may have exposure to disease conditions and agents that would require personal protective equipment/clothing, safeguards and enrollment in a health monitoring program.
- You may have restrictions on contact with birds, sheep, goats, cattle, and swine outside of the laboratory due to potential contamination issues.
- Immunization against diseases being studied which are transmissible to humans may be required.
- Criminal Justice Information Services database check required for work involving Biological Select Agents and Toxins.
- Orient Point Position Sensitivity and Risk designated as High Risk; positions located in Ames, IA are designated as Moderate Risk.
- Selectee for Orient Point location only must submit to a urinalysis to screen for illegal drug use prior to appointment and random testing thereafter. Final appointment and continued employment is conditional on negative results for illegal drug use.
- Position in Orient Point location will require daily travel to and from either Orient Point, New York and Plum Island, or Old Saybrook, Connecticut and Plum Island aboard Government-provided marine vessels.
- Orient Point, NY position will be relocated from Orient Point, New York, to Manhattan, Kansas, when the finished National Bio-Agro Defense Facility is complete and ready for activity at a future date, no later than 12/31/2024.
Qualifications
Applicants must meet all qualifications and eligibility requirements by the closing date of the announcement, including specialized experience and/or education, as defined below.
FOR THE GS-06 LEVEL: Applicants must have one year of specialized experience (equivalent to the GS-5 grade level) that may have been obtained in the private or public (local, county, state, Federal) sectors which demonstrates:
Managing multiple tasks, serving as a point of contact, and providing administrative support to supervisor.
Communicating clearly and concisely in writing to produce quality documents, reports, meeting minutes, and correspondence.
Using common/standard office suite software to prepare correspondence, meeting notes, reports, calendars, presentations, and spreadsheets.
Note: There is no education substitution for this grade level.
Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
