This position is assigned to the Spinal Cord Injury Care Line (SCICL) located at the Michael E. DeBakey VA Medical Center. Serve as a Program Support Assistant under the supervision of the SCI Administrative Officer. Responsible for providing administrative support to the SCICL with special emphasis on support of the SCI Home Care Program, SCI Outpatient Clinic Program, and SCI Telehealth Program.

Duties

Administrative/Clerical Support management of and reporting on the administrative activities of the SCI Home Care Program, SCI Outpatient Clinic Program, and SCI Telehealth Program. Utilize a variety of software programs and communication tools to input and retrieve data as required. Accurately collects, enters, and manages data, including both patient data and program data. Assists with document preparation of the program budget and annual estimates of a variety of programmatic costs including grants and other special projects. Maintains a calendar of appointments of patients, meetings, conference calls, and scheduled leave as well as coordinates meetings, prepares travel papers, schedules conferences, and assists SCICL staff with administrative functions as assigned. Coordinates and takes minutes for various SCICL program meetings as assigned. Data Collection & Tracking Responsible for collecting, compiling and/or entering statistical information to support the SCICL management and program operations. Responsible for providing data/reports related to the administrative, clinical, education, and technical aspects of the program to the SCICL managers and supervisors. Participate in performance improvement activities related to the SCICL programs quality improvement processes. Assist with scheduling the patient flow through SCICL with special emphasis on the Home Care Program, SCI Outpatient Clinic Program, and SCI Telehealth Program. Tracks achievement on performance measures, goals, objectives, staff workload, productivity, consult completion, etc. Work Schedule: Monday - Friday, 7:30am - 4:00pm (subject to change based on the needs of the agency). Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 08/22/2023. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. This position requires the skills of a qualified typist (40 wpm). You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: experience where you were responsible for providing administrative support; collecting, compiling and tracking data and information; processing documents and reports; establishing, updating and maintaining office files and records; performing automation duties using such software applications such as word processing, spreadsheet, electronic mail, desktop publishing, calendar, database and/or graphics; answering telephones, referring visitors, and providing information. Note: Experience must be fully documented on your resume and must include job title, duties, month and year start/end dates AND hour worked per week. You will be rated on the following Competencies for this position: Administration and ManagementCommunicationComputer Skills Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: The work is basically sedentary in a clinic environment. Some bending, standing, and carrying of supplies may be required. Some walking to all parts of the facility is required since the incumbent will be working with a variety of clinical and administrative services.
