Duties
This Program Assistant position is located in Enterprise Support, Human Capital, HC Service Delivery Division Transportation Security Administration, Department of Homeland Security (DHS). Duties include but are not limited to:
Provides administrative support to all program areas; monitors, evaluates, and ensures work is effectively performed within the immediate area for responsibility.
Performs data entry where appropriate with a high level of accuracy, with little or no
supervision; extracts and compiles data for senior staff members and uses knowledge of
policies and procedures to provide input and guidance when necessary.
Maintains all files, records, schedules and calendars, administrative files; responsible for updating rosters and contact information including maintaining and updating the division's iShare page.
Provides assistance developing and maintaining a detailed listing of projects that are currently being worked, dependencies, milestone dates, due dates, meeting notes, issues, risks, and other details as required.
Ensure documents are properly filed and/or stored for easy access utilizing a computer
filing system. (e.g., Sharepoint, iShare or other appropriate filing system).
Consult subject matter experts team members to create, edit, re-write, and format communications and products for appropriate audience level of understanding, readability and accuracy. Consult and write Standard Operating Procedures (SOPs) for Human Capital (HC) business processes and procedural manuals.
Qualifications
To qualify for the SV- F Pay Band (equivalent to GS-9/10), you must have one year of specialized experience at the SV-E Pay Band or GS-8 in the Federal service or equivalent experience in the private sector. Specialized experience is defined as experience that has equipped you with the knowledge, skills and abilities to successfully perform the duties of the position. Specialized experience is defined as:
Experience performing a range of administrative and office support assignments (i.e. compiling and tracking data, maintaining records, researching files and records); and
Experience preparing correspondence and documents; and
Experience utilizing computer software applications (e.g., Microsoft Word, Outlook, Excel, PowerPoint).
To qualify for the SV-E Pay Band (equivalent to GS-7/8), you must have one year of specialized experience at the SV-D or GS-6 in the Federal service or equivalent experience in the private sector. Specialized experience is defined as:
Experience providing administrative and office automation support including preparing correspondence and gathering data; and
Experience utilizing computer software applications (e.g., Microsoft Word, Outlook, Excel, PowerPoint).
Credit for experience is given based on a 40-hour workweek. Part-time experience is credited on a part-time ratio, i.e., working 20 hours per week for two months equals one month of experience. No additional credit is given for overtime.
National Service Experience (i.e., volunteer experience): Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
The Office of Personnel Management (OPM) must authorize employment offers made to current or former political appointees.
