This position serves as a Program Support Assistant under the Neurology Care Line (NCL) located at the Michael E. DeBakey VA Medical Center. Providing program and administrative assistance to the NCL, with particular emphasis on support to the Neurology Care Line's General Neurology Program, Neuromuscular Disorders Program, Multiple Sclerosis Center of Excellence (MSCoE),and Amyotrophic Lateral Sclerosis Program (ALS), for each program director and their corresponding clinics.
Duties
Data Management and Analysis
This position varies widely and are non-routine, consisting of but not limited to, handling data, coordinating schedules, organizing resources, and interfacing with diverse population groups.
Utilize a variety of software programs and communication tools to input and retrieve data as required.
Must be able to prioritize job tasks and work independently, while at the same time, coordinating work efforts with staff from multiple areas within the NCL as well as many other services within the MEDVAMC and with members of the community at large.
Responsible for collecting, compiling and/or entering statistical information to support the NCL Stroke and Headache management and program operations.
Program Administrative Duties
Provides program administrative and technical assistance in the day-today Operations.
Perform a variety of administrative functions and assignments necessary for the smooth management of the Neurology Care Line (General Neurology Program, Neuromuscular Disorders Program, MSCoE and ALS) program and the therapy clinics.
Responsible for supply management functions including identifying necessary products, supplies, and/or equipment, and the tracking and distribution of equipment and supplies to the various end points within NCL.
Provide support to the Neurology Care Line (General Neurology Program, Neuromuscular Disorders Program, MSCoE and ALS) staff.
Maintain a calendar of appointments of patients, meetings, conference calls, and scheduled leave as well as coordinates meetings, prepares travel papers, schedules conferences and assists NCL staff with administrative functions as assigned.
Correspondence
Involves a variety of administrative duties and assignments.
Composing and editing letters; reviewing correspondence for accuracy and completeness; coordinating surveys that measure follow-up treatment outcomes and patient satisfaction; and general filing to include the use of alphabetical, numerical or chronological filing systems to file reports, correspondence, records, publications, regulations, directives and similar material.
Assemble and summarize data, background information, and other materials from publications and other sources.
Timekeeping
Provide back up support to main timekeeper to posts employees' hours worked, leave taken, etc. using the Electronic Timekeeping System (VATAS).
Ensure that overtime and compensatory time is properly documented, verified, and authorized.
Scheduling
Assist veterans with the technical aspects related to the NCL clinics with special emphasis on those involved with the Neurology Care Line (General Neurology Program, Neuromuscular Disorders Program, MSCoE and ALS) Program.
Recognizing and resolving program issues on an ongoing basis.
Work Schedule: Monday - Friday, 7:30am - 4:00pm or 8:00am - 4:30pm (subject to change based on the needs of the agency).

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 08/10/2023.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: the ability to interpret and apply regulatory and procedural requirements; process unusually difficult and complicated transactions; performing clerical/administrative duties in an office environment; answering and directing phone calls; preparing correspondence; maintaining files/records; using a computer to perform a variety of software programs and communication tools to input and retrieving data; knowledge of using a government credit card. At this grade level, applicants should have good verbal and written communication skills and the ability to perform assignments independently with minimal oversight. NOTE: Experience must be fully documented on your resume and must include job title, duties, month and year start/end dates AND hours worked per week.

Physical Requirements: The work is basically sedentary in a clinic environment. Some bending, standing, and carrying of supplies may be required. Some walking to all parts of the facility is required since the incumbent will be working with a variety of clinical and administrative services.
