This Program Support Assistant (OA) position is located in the Support Services Division (SSD) of the Saint Petersburg Regional Office, Located in St. Petersburg, FL. Where the incumbent will provide program, technical and administrative assistance to the SSD Chief and other subordinate management within the division.
Duties
Prepare, assemble, and correlate information and data in connection with surveys and one-time reports required as required by management.
Review information submitted and evaluates for appropriateness and applicability to required information.
Assemble reports into requested formats or creates format for data.
Process, review, and analyze incoming and outgoing materials such as correspondence, reports, memoranda, and other forms of written communications.
Edit documents, compose letters and reports, review correspondence for accuracy and completeness.
Prepare public presentation outlines, and develops standard for form letters and replies to inquiries.
Maintain diaries and ensures follow-up actions are completed timely.
Distribute publications to appropriate divisions or sections.
Provide assistance to SSD section chiefs with administrative and clerical issues
Assist division management in evaluating, monitoring, and assessing workflow management.
Monitor the general workflow looking for areas needing improvement and makes recommendations based upon an analysis of both workflow and procedures and guidelines required.
Assist in auditing and/ or reviewing teams and division personnel by compiling and providing statistical data as required regarding administrative programs.
Serve as the division expert on guidelines, procedures and regulations and provides guidance to other division and regional office employees.
Update organizational charts, personnel rosters, and phone listings as changes occur.
Maintain the Continuity of Operations Plan (COOP) implementing updates on a continuing basis as changes occur.
Coordinate the scheduling of facility space within the RO.
Serve as the interface between the Administrative Section and customers within the RO regarding equipment inventory information.
Assist with formulating financial requirements for all areas of responsibility.
Responsible for establishing and maintaining files and records for the division.
Perform office automation duties using such software applications as electronic mail, calendar, DOOR data input, word processing, spreadsheets, and automated time and attendance applications.

Specialized Experience:
To qualify at the grade level of GS-06: Applicants must have one (1) year of specialized experience equivalent to at least the next lower grade (GS-05) in the federal or other service. Specialized experience is work experience that equipped the applicant with the knowledge, skills and abilities (KSA's) to perform successfully the duties of the position within the organization.
Specialized experience for this position is defined as: Preparing designated reports; maintaining control over priority mail; assisting in the management of the units mail management system to include diagnosing of equipment malfunctions, operating problems, and performing corrective adjustments; ensuring adequate supplies are maintained within the division to support continuous regional office (RO) operations; analyzes supply levels on a recurring basis to determine the rate of utilization, and advises the Support Services Specialist when supply orders are required; provides guidance and assistance on procedures, report requirements, deadlines and related matters to assure compliance with Support Services policies.
There is no for substitution of Education for the Specialized Experience at the Grade level of GS-06.
