The Fargo VAHCS is a level two facility in Fargo, North Dakota. The employee is the secretary for the Associate Director of Operations and Resources (ADOR) at the Fargo VA Health Care System (HCS) and is the main point of contact/ resource for all operations and resources requirements.

Duties

***THIS IS NOT A VIRTUAL POSITION, YOU MUST LIVE WITHIN OR BE WILLING TO RELOCATE WITHIN A COMMUTABLE DISTANCE OF THE DUTY LOCATION*** The employee is the point of contact and an essential resource to the ADOR, and operations staff. The employee develops agendas and accurately records and prepares meeting minutes in the proper format for the ADOR. The employee collaborates with the executive assistants for the Health Care System Director, Associate Director of Patient Care/Nurse Executive, and Chief of Staff by directing, distributing, and tracking customer complaints, including Whitehouse hotlines, VISN 23, and national action items to resolve completely. The employee provides executive-level oversight, coordination, collaboration with the subordinate service lines, and ICCs to ensure the ADOR office operates seamlessly and efficiently. The employee develops and provides technical advice on the preparation of correspondence, including congressional letters memorandums to executive assistants, ICC/service line administrative officer, operations supervisors, and staff members throughout the Fargo VA HCS. The employee is expected to use superior judgment, discretion, experience in handling the overall sensitive work information in the ADOR office. In collaboration with Executive Office secretaries, establishes and maintains all files in the front office and serves as the ADOR records liaison. The employee develops confidential and non-confidential documents, publications, and office files within the ADOR office while ensuring VA regulations, circulars, directives, manuals, interim issues, information letters, station publications memorandums, operations policies are current and accurate. Qualifications

SPECIALIZED EXPERIENCE-GS-8: One (1) full year of specialized experience equivalent to the next lower grade level (GS-7) in Federal service that has equipped you with the particular knowledge, skills, and abilities to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled. Specialized experience is Experience processing travel arrangements, including hotel reservations for upcoming trips for staff, experience developing and coordinating training schedules for new and current staff; experience managing and tracking completion of mandatory education requirements for staff, experience mentoring other administrative staff, secretaries, and executive assistants, skilled in the use of office automation equipment and software programs experience developing and providing technical advice in the preparation of various correspondence, letters, and memorandums and accurately and efficiently transcribes various verbal, written, and electronic information. -AND- TYPING PROFICIENCY: This position requires the skills of a qualified typist. In addition to meeting the experience and/or education requirements, you must be able to type at least 40 words per minute. All experience listed on your resume must include the month and year start/end dates. Part-time experience will be credited on the basis of time actually spent in appropriate activities.
