The Administrative Support Assistant (OA) for pharmacy service is an integral member of the administrative team and reports directly to the Administrative Officer of Pharmacy. The pharmacy service is comprised of an inpatient and outpatient pharmacy, as well as clinical pharmacy services that support inpatient, outpatient, and the Community Based Outpatient Clinics (CBOCs). Serves as the backup timekeeper, prepares service documents, and acts as liaison with other departments.

Duties

This position is covered by National Association of Government Employee (NAGE) bargaining unit. Per the Master Agreement, the Area of Consideration will be: 1st Area of Consideration: Current permanent Facility (including satellites) employees 2nd Area of Consideration: Current permanent VA employees Duties typically include, but are not limited to: Provides administrative skills in planning, determining priorities, compiling reports. Provide secondary support for timekeeping actions including the completion of timekeeper audits in accordance with fiscal service's timelines and policies/procedures. Prepares human resources paperwork, such as, award requests, functional statements, organizational chart updates and union notifications. Responsible for Electronic Permission Access System (EPAS) submissions, PIV sponsorship and TMS tracking. Responsible for maintaining all personnel files and competency folders for all service staff. Responsible for oversight and formatting of all service memoranda and service policies. Responsible for contact and communication and provision of general knowledge of pharmacy to all patients, visitors and medical center staff. Responsible for managing incoming and outgoing correspondence, preparing for pharmacy Chiefs signature in the proper format. Manages electronic calendar of pharmacy chief. Prepares meeting agendas and minutes. Prepares and submits travel arrangements for all pharmacy staff. Responsible for procurement and inventory management of all office supplies. Responsible to track work orders and information technology requests for staff to completion Work Schedule: Monday - Friday 8:00am - 4:30pm or 7:30am - 4:00pm Compressed/Flexible: Not Authorized Virtual: This is not a virtual position. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 07/28/2023. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Specialized experience would typically include, but are not limited to: Experience in preparing delegations of authorities, personnel actions, telework packets, travel packets, functional statements, organizational chart updates, and/or procurement of all office supplies; possess administrative skills in planning, prioritizing, compiling reports, and/or submitting official correspondence; and experience maintaining and updating electronic calendars, meeting agendas/minutes, and meeting handouts. You will be rated on the following Competencies for this position: Information Management Internal Controls/Integrity Interpersonal Skills Manages and Organizes Information Communication Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: The basic responsibilities of this position are office based and involve mainly sitting and computer type work. In addition, it involves visits to other services to turn in needed paperwork and/or give/get feedback on how to proceed in a project affecting Pharmacy Service.
