The Supervisory VET- HOME Coordinator (VHCO) is responsible for the management of VA's Environmental Health programs, under the direction of the Health Outcomes Military Exposures (HOME). HOME is a VA- delivered Foundational Service, meaning its work is fundamental to VA's mission and is rarely found outside of VA.

Duties

The major duties of the Supervisory Medical support assistant include, but are not limited to: Responsible for performing a variety of significant administrative, analytical, and technical functions, tasks and special programs with respect to all VHA Environmental Health Registry Programs, e.g. Agent Orange, Airborne Hazards and Open Burn Pit Registry, Gulf War Registry, Ionizing Radiation Registry, Depleted Uranium (DU), Toxic Embedded Fragment Surveillance Center, evaluations of Veterans that serviced in other combat areas, referrals to one of the War Related Illness and Injury Study Centers and to Veterans Benefits Administration to initiate filing a claim for benefits. Performs a full range of management and supervisory functions for VHCO. Responsible for planning and directing subordinate responsibility for at least one lead VHCO. Responsible for but not limited to evaluating the work of subordinate staff; resolving complex problems to ensure Veteran services are met. Evaluating new products, equipment, and systems to make recommendations for improved operations. Identifying educational or training needs. Making final decisions on hiring selections. Evaluating performance and taking disciplinary action when necessary. Responsible for evaluating and analyzes data in support of VET-HOME initiatives. Extract and analyze data to provide reports to VET-HOME leadership in support of tracking measures. Organizes the daily structure of the VET- HOME Intake Center, and acts as a liaison between VHCOs and Lead VHCOs, and other VET-HOME staff to resolve day to day conflict. Serves as a subject matter expert providing specialized administrative functions with a focal point on military environmental health exposures. Manage and independently perform all administrative functions. Serve as initial point of contact for: Internal Customers: Veterans and their family members, Veterans Health Administration (VHA) personnel, and Veterans Benefits Administration (VBA) personnel; External Customers: active-duty Service Members, military medical personnel, military separation and retirement counsellors, private clinicians. Navigates the intake center process flow map. Processes and schedules incoming registry requests received via phone, email, internal referral, smart app, or other modality Maintains and updates listings of pending, scheduled and completed registries. Resolves registry exam backlogs by outreaching Veterans whose previous requests for evaluations have not been completed Provides registry worksheets, privacy statements and appointment confirmations to appointed Veterans. Manages scheduling for assigned clinicians utilizing pool of available clinics to ensure equitable distribution of work and timeliness within established guidelines. Ensures follow-up letters have been generated in the medical record and securely transmits follow-up letters to Veterans via mail or encrypted e-mail. Qualifications

Applicants pending the completion of educational or certification/licensure requirements may be referred and tentatively selected but may not be hired until all requirements are met. Basic Requirements: United States Citizenship: Non-citizens may only be appointed when it is not possible to recruit qualified citizens in accordance with VA Policy. Experience and Education. Experience. Six months experience of clerical, office, [customer service], or other [administrative] work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position; OR, (2) Education. One year above high school; OR, (3) Experience/Education Combination. Equivalent combination of experience and education are qualifying for entry level for which both education and experience are acceptable. May qualify based on being covered by the Grandfathering Provision as described in the VA Qualification Standard for this occupation (only applicable to current VHA employees who are in this occupation and meet the criteria). All MSAs employed in VHA in this occupation on the effective date of this qualification standard are considered to have met all qualification requirements for the title, series, and grade held, [which] are [a] part of the basic requirements of the occupation. For employees who do not meet all the basic requirements required in this standard, but who met the qualifications applicable to the position at the time they were appointed to it, the following provisions apply: Such employees may be reassigned, promoted, or [changed to a lower grade] within the occupation. Employees who are appointed on a temporary basis prior to the effective date of the qualification standard may not have their temporary appointment extended or be reappointed, on a temporary or permanent basis, until they fully meet the basic requirements of the standard. If an employee who was converted to [Title] 38 hybrid status under this provision leaves the occupation, the employee loses protected status and must meet the full VA qualification standard requirements in effect at the time of reentry to the occupation. Grade Determinations: GS-08: In addition to the basic requirements, you also have to meet the specialized experience. You must possess at least one (1) full year of specialized experience, which equips you with the particular knowledge, skills, and abilities to successfully perform the duties of the Supervisory Medical Support Assistant, GS-08 position? To be creditable, this specialized experience must have been equivalent to the grade 07 level in Federal service to qualify at the grade 08. Examples of specialized experience include but not limited to: Responsible for the coordination of Advanced MSA assignments and workflow found in an interdisciplinary unit Responsible for daily workload assessments, assigning work, and assuring proper staffing coverage; evaluating training records; and determining training needs of MSAs to provide support across interdisciplinary settings Assists the unit with complex and non-standard procedures, including clinical flow processes related to access to care across multiple clinics, specialties, and/or community resources Ensuring accurate and timely scheduling of appointments Providing guidance to staff members, to include changes in policies and procedures Creating and maintaining employee work schedules Acting as a liaison among Advanced MSA staff, patients, and other interdisciplinary staff to resolve day-to-day conflicts References: VA Handbook 5005/117 Part II Appendix G45 Physical Requirements: This work is mostly sedentary and requires some standing, bending and carrying light items.
