You will serve as an Executive Administrative Assistant in a liaison capacity between the Veterinary Services Executive Team and the Office of the Administrator, as well as private sector representatives, federal agencies, and other governing bodies for various projects, activities, or programs.

Duties

The duties may include, but are not limited to: Arrange and schedule meetings and conferences involving members of the VSET (Veterinary Services Executive Team) and other government officials and stakeholders. Review correspondence forwarded for attention to the VSET as well as others in the Office of the Deputy Administrator. Review materials flowing through the Office of the Deputy Administrator, and collaborating with other staff Prepares itineraries, authorizations, and vouchers associated with travel and disseminates them to interested parties. Receives and places local and long-distance phone calls on behalf of the supervisor and/or other VS Senior management staff members or prestigious visitors. Gathers information and prepares summaries on topics of program interest. Such material may be used as the basis for public speaking and/or presentations given by the VSET. Makes recommendations to improve clerical and office processes and expedite necessary clearance processes.

Requirements

  • Successful completion of one year probationary period, unless previously served.
  • Subject to one year supervisory/managerial probationary period unless prior service is creditable. New USDA supervisors must successfully complete all components of the required training program before the end of their probationary period.

Qualifications

Applicants must meet all qualifications and eligibility requirements by the closing date of the announcement including time-in-grade restrictions, specialized experience and/or education, as defined below. TIME-IN-GRADE: Current federal employees applying for a promotion opportunity must meet time-in-grade (TIG) requirement of 52 weeks of service at the next lower grade level in the normal line of progression for the position being filled. FOR THE GS-09 LEVEL: Applicants must have one year of specialized experience (equivalent to the GS-07 grade level) that demonstrates: Experience providing monitoring and facilitating calendars. Scheduling or re-schedules meeting, briefings, and conferences Experience creating meeting agenda and compiling background information, related materials for hosted meetings. Experience making extensive and complex travel arrangements and planning accommodations. Creating, developing, and maintaining databases and spreadsheets such as Access and Excel to include retrieving and correcting information. Experience in a broad range of routing clerical, and administrative task to support operating and managing the Office of the Deputy Administrator. Analyzing incomplete or conflicting data to make decisions based on knowledge of agency policy and precedent. Experience in use of variety of automated office equipment and computer applications (Microsoft Office products, including Teams and SharePoint and Zoom) OR Master's or equivalent graduate degree in Business Management, Marketing Finance, Accounting, Human Resources, Public Administration or a closely related field or 2 full years of progressively higher level graduate education leading to such a degree or LL.B. or J.D., if related. TRANSCRIPTS are required if: You are qualifying for the position based on education. You are qualifying for this position based on a combination of experience and education. This education must have been successfully completed and obtained from an accredited school, college, or university. COMBINATION OF EDUCATION & EXPERIENCE AT THE GS-09 GRADE LEVEL: Applicants may have combinations of successfully completed education and specialized experience to meet total qualification requirements. The total percentages must equal at least 100 percent to qualify for that grade level. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
