This position is located in the Department of Veterans Affairs (VA), Veterans Health Administration (VHA), Mid-Atlantic Health Care Network (VISN 6), Durham VA Health Care System (VAHCS) in the Environmental Management Service (EMS). The primary duties of the position involve processing and maintaining attendance and leave records, maintaining the work order system, and providing clerical support to the service.

Duties

Timekeeping - 50% The incumbent serve as the official timekeeper for Environmental Management Service Department in the Hospital. This position primary functions are that of a timekeeper effect the timely submission of 125 timecards in order to produce and ensure accurate payroll. EMS has 12 T&Ls with different tours. This is a vital and crucial position to ensure all Housekeeping Technicians are paid correct, on time and ever time. The timekeeper will screens the following: Employee Annual and Sick Leave Monitor FMLA Provide the Supervisors when the employees have exceeded their leave limits. The incumbent work is an essential part of patient care provided by the service, as timely and accurate procurement and delivery ensures continued high quality EMS Housekeeping, an integral part of the patients overall medical treatment. Responsible for creating, processing, and maintaining attendance and leave records for all Time and Leave (T&L) units. Performs payroll matters with expertise and independently provides technical advice and assistance on pay and leave matters. Work Orders - 25% Serves as the primary point of contact for work orders as they are received via telephone, email, or through the SOARD Maximo work order system. Retrieves work orders from designated printer and informs supervisors and work-leaders of the requests via telephone or email; proofreads data and other information, such as time, location and contact person for the requests; receives telephone calls both from attached and adjacent buildings to the Health Care System pertaining to work orders, verifies work order information for correctness, and checks it against previously obtained information as necessary; communicates with customers, employees, and other individuals to disseminate or explain information data in tracking date and time of the work order; interacts with supervisors and work leaders to ensure all work orders are completed in a timely manner and follows up on orders and handles complaints about unfulfilled orders. Prepares work order reports for Chief and Assistant Chief to capture trends, problems, and timeliness of completion. Performs other duties as assigned. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 01/17/2025. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. Candidates may be advanced without time restriction to positions up to GS-5 if the position to be filled is no more than two grades above the lowest grade the employee held within the preceding 52 weeks under his or her latest nontemporary competitive appointment. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. You may qualify based on your experience and/or education as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-04 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: preparing administrative correspondence, maintaining calendars and schedules, gathering and compiling data, timekeeping and providing administrative coordination for training programs. OR, Combination: (TRANSCRIPTS REQUIRED) Applicants may also combine education and experience to qualify at this level. You must have a combination of specialized experience and education beyond the high school level. Equivalent combinations of successfully completed post high school education and experience may be used to meet total experience requirements. Education

EDUCATION: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have successfully completed 4 years above high school in any field for which high school graduation or the equivalent is the normal prerequisite. This education was obtained in an accredited business, secretarial or technical school, junior college, college or university. If you are qualifying on education, transcripts are required. (TRANSCRIPT REQUIRED)

OR

COMBINATION EXPERIENCE AND EDUCATION: Applicants may also combine education and experience to qualify at this level. You must have an combination of specialized experience and education beyond high school. Education in excess of the first 60 semester hours (i.e., beyond the second year) is creditable toward meeting the specialized experience requirement. One full academic year of study (30 semester hours) beyond the second year is equivalent to 6 months of specialized experience. (TRANSCRIPT REQUIRED)
