The position serves as an Administrative Support Assistant for the Chief of Staff (COS) Office. Performs administrative and data collection and management duties for the Chief of Staff Office Performance Improvement Initiatives and assist the departments, and sections
aligned under the direct supervision of the Chief of Staff. Collaborates with multidisciplinary personnel, networks with other services to achieve the facility and service goals. Completes staffing, tracking and workload reports.
Duties
Include but not limited to:
Meets the needs of customers while supporting the Medical Center and Service mission.
Prioritizing assignments and completing work.
Assist with appointments, maintaining daily calendar and schedules appointments based on his/her knowledge of the supervisor's time commitments.
Assists in scheduling and coordination of interviews, education of current positions available, verification of references, and the application process.
Reviews, screens, and distributes incoming correspondence.
Collaborates with Manager Self Service (MSS) actions.
Responsible for completing requests for Personal Identity Verification (PIV) cards for employees.
Designated Sponsor for the COS Office.
Assist with appointments, maintaining daily calendar and schedules appointments.
Maintains all organizational charts up to date and uploads to COS SharePoint.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 01/13/2025.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement.
For a GS-06 position you must have served 52 weeks at the GS-05.
The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.
Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
Preferred Experience: Knowledge and experience in creating reports in different formats (Excel, Power-BI, Pyramid, SQL). Knowledge and experience in Acquisition process and contracting. Knowledge and experience in TMS, PIV and VISTA.
Minimum Qualification Requirement:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Collects data from VSSC, CDW, SQL, Bio-Office, PATS-R. Types letters, memorandums, forms, reports, correspondence. Extracting prescribed data from reports office files and records. Reconciles orders, and assists in monitoring the Fund Control Point balances. Monitors and maintains calendar. Takes and transcribes meeting minutes. Coordinates meetings. Prepares agenda packages, schedules, and contacts presenters, takes notes and prepares written summaries of salient points in meetings. Maintains a suspense file of due documents and assures that concerned personnel are aware of time frames. Arranging and assembling written material to prepare reports. Serves as administrator in TMS, PIV sponsor and alternate timekeeper.

Physical Requirements: The work is generally sedentary, but also involves frequent standing, walking, stooping, bending,
driving, and carrying various equipment and supply items.
