The Primary Purpose of the Position is: To serve as the principal office assistant, performing various administrative and clerical duties in support of the Deputy Associate Director who participates in the overall management of the Patient Care Services. Performs office automation duties such as word processing in support of the administrative and clerical work.
The Organizational Location of the Position is: Associate Director for Patient Care Services, VA North Texas Health Care System.
Duties
Duties include but not limited to:
Preparing a wide variety of recurring and nonrecurring personal and executive correspondence, reports, and other documents from information obtained from the staff, files, and other sources.
Reviewing and processing incoming and outgoing correspondence, reports, and other materials submitted for the Deputy Associate Director for Patient Care Services signature.
Receiving telephone calls, greets visitors, and ascertains the nature of the calls or visits, screening those that can be handled without supervisor's help.
Maintaining supervisor's calendar, coordinates meeting arrangements, and schedules meetings and/or conferences including those involving staff from outside the immediate office.
Performing other clerical and administrative work in support of Patient Care Services.
Using multiple office automation software with varied functions to produce a wide range of documents that often require complex formats, such as graphics or tables within text, editing and reformatting electronic drafts, and updating or revising existing databases or spreadsheets.
Knowledge of the Patient Care Services and other Health Care System Services and offices (such as Operations, Logistics, Engineering, Safety, HRMS, Public Affairs, Legal Office, etc.). Coordinate the work of Patient Care Services with the work of other offices and for recognizing the need for such coordination in various circumstances.
Knowledge of Patient Care Services duties, priorities, commitments, policies, and program goals of the organization sufficient to perform non-routine assignments, such as independently noting and following-up on commitments made at meetings/conferences; advising other clerical staff on preparing correspondence, requirements for various reports, and interpreting new instructions and procedures; and locating and summarizing information from files and documents that requires recognizing which info1mation is, or is not, relevant to the problem at hand.
Knowledge of the substantive programs of Patient Care Services as they relate to administrative
and clerical support functions.

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 01/06/2025.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06 . The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.

You may qualify based on your experience as described below:
Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Using a variety of automated systems (i.e., records management, electronic forms, electronic publications library, time, and attendance, etc.) and non-automated to perform various clerical duties. Physical Requirements: The work is sedentary. May require some walking, standing, bending, climbing stairs, and carrying arid/or lifting of light items such as papers and books. No special physical demands are required to perform the work.
