This position will provide knowledge on all technical duties relating to customer service. The position interacts with all clinics and patient care provider locations. Individual may be the chief flow of patient care, manage clinic profiles, manage clinic appointments including scheduling and cancellation, track consults, verify doctor's orders, review electronic wait lists, review medical records and extract information, explain procedures and appointments and makes appropriate referrals.

The Lead Medical Support Assistant monitors and makes work assignments, provides input on performance, resolves daily workplace issues and maintains efficient workflow. Assignments at this level include, but are not limited to:
Assuring coverage of all areas of responsibility; conducting ongoing reviews to ensure quality of work; ensuring accurate and timely scheduling of appointments; providing guidance to staff members to include changes in policies and procedures; distributing and balancing workload; creating and maintaining employee work schedules; orienting and providing on-the-job training for new and current employees; ensuring all training requirements are met; organizing the work structure of his/her assigned areas; and acting as liaison between MSA and clinic staff in order to resolve day to day conflicts.
Verifies appointments, initiates communications with VA Regional Office, Telephone Advice Nurse, Pharmacy, and other staff as well as being the Point of Contact or Liaison for each Patient Aligned Care Team and clinics. The incumbent advises the veterans of their medical benefits and discusses services. Extreme tact, diplomacy and privacy are required to explain complicated situations in this area.
Responsibility of performing the duties related to extensive knowledge of Medical Center and policies required to respond to inquiries from Veterans, Medical Center staff and other agencies regarding applying for care, eligibility, etc. Monitors enrolled patient data base information on a regular basis.
Assures contact with patients and staff by setting the tone for perception concerning quality of healthcare services at the VA.
Will ensure that all necessary health/administrative information are integrated into Computerized Patient Record System (CPRS) by sending the documents to the appropriate department for scanning.

Qualifications
Applicants pending the completion of educational or certification/licensure requirements may be referred and tentatively selected but may not be hired until all requirements are met.
Basic Requirements:
A. United States Citizenship: Non-citizens may only be appointed when it is not possible to recruit qualified citizens in accordance with VA Policy.
B. Experience and Education.
(1) Experience. Six months experience of clerical, office, [customer service], or other [administrative] work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position; OR,
(2) Education. One year above high school; OR,
(3) Experience/Education Combination. Equivalent combination of experience and education are qualifying for entry level for which both education and experience are acceptable.
C. English Language Proficiency. MSAs must be proficient in spoken and written English in accordance with VA Handbook 5005, Part II, Chapter 3, Section A, paragraph 3.j.
D. Grandfathering Provision. May qualify based on being covered by the Grandfathering Provision as described in the VA Qualification Standard for this occupation (only applicable to current VHA employees who are in this occupation and meet the criteria).
E. Grade Determination:
Experience. One year of experience equivalent to the GS-6 grade level.
Demonstrated Knowledge, Skills, and Abilities. Candidates must demonstrate all of the KSAs below:
Ability to organize work, set priorities, and delegate tasks/responsibilities in order to meet deadlines.
Skill in communicating with individuals to obtain the desired effect, ensuring compliance with established policies and regulations.
Ability to provide staff development and training.
Ability to manage staffing requirements, manage priorities, and coordinate with staff in the unit in order to complete duties in an accurate and timely manner. This includes the ability to follow-up on pending issues and demonstrate an understanding of the impact of incomplete work.
Ability to review and monitor data to ensure all reports are complete and accurate.
