This position is located in the Veteran's Health Administration in the Hampton VA Medical Center (VAMC) located in Hampton, VA. This position is organizationally aligned in the Medical Service. The primary purpose of this position is to perform a variety of administrative duties which support the work of the Chief, and subordinate staff of the Medical Service located at the Hampton VAMC. Only current VISN 6 employees of the Veterans Health Administration (VHA) are eligible to apply.

Duties

Establishes and maintains electronic and/or hard-copy filing and record systems that relate to the work of the organization to Include performance indicators, reports, meetings, correspondence, regulations, policy statements, station memos, etc., and organizes the flow of clerical processes in the office. Sets up and maintains suspense files showing the status of actions and correspondence. Receives visitors and telephone calls to the office, determines the nature of requests and directs callers to appropriate staff, or personally provides the desired information involving routine or procedural matters. Receives incoming correspondence, screening material prior to distribution for suspense dates, establishing controls, and following up for supervisor. Checks for spelling, typographical errors, conformance to formats and procedural requirements. Schedules appointments and makes arrangements for time, participants, and location of meetings in accordance with instructions from the supervisor. Provides necessary assistance for travel, arranging schedules of visits, making reservations, notifying organizations and officials to be visited, and submitting travel requests, vouchers and reports. Liaisons with administrative counterparts of the Eastern Virginia Medical School to coordinate activities and maintain relations to residents and medical students. Prepares and distributes minutes of monthly staff meetings. Requisitions office supplies, equipment, and publications using automated systems. Serves as primary Timekeeper for Medical Service, insuring accurate recording of overtime, leave, authorized absence, and other related matters. Posts and maintains assigned Fund Control Point records, bringing discrepancies to the attention of the Chief, or designee, and advises of need for additional funding. Prepares personnel actions, and tuition reimbursement and training requests, and related documentation as indicated or requested for submission. Creates, copies, edits, calculates, revises. retrieves, stores and prints a wide range of documents in final form from drafts (e.g., memoranda, personnel action requests, performance appraisals, correspondence, reports, graphs, calendar, statistics, mailing labels, tables, etc.). Selects appropriate software types (spreadsheets, database, word processing, etc.) to meet office needs based on an understanding of the functional capabilities and limitations of each, and the similarities, differences and integration of the software types. Automates various administrative reports containing data having multiple uses for other reports such as funds, travel. training, workload, etc. Serves as ADPAC for the service to promote effective communication among services concerning office automation issues. Performs other directly related duties as assigned. Work Schedule: Full Time, Monday- Friday, 7:30AM- 4:00PM/8:00AM- 4:30PM Virtual: This is not a virtual position. Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 12/23/2024. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. Proficiency Requirement: Must be able to type 40 words per minute. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: providing clerical and administrative assistance to the organization; receives telephone calls and greets visitors within the office setting; creates and maintains administrative files and records. Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: The work Is normally sedentary, but includes some walking, standing, bending, and carrying of light items such as papers and books. No special physical demands are required to perform the work.
