This position serves as the Secretary for Social Work Service (SWS) at the Southern Arizona VA Health Care System (SAVAHCS). SAVAHCS SWS serves over 50,000 Veterans located in eight counties in southern Arizona. The incumbent will provide direct secretarial, receptionist, and clerical support to the administrative team of SWS, and is responsible for organizing, preparing timely and accurate correspondence, memoranda, policies/procedures, reports, special documents, and meeting minutes.
Duties
Duties include, but may not be limited to the following:
Maintains the service line and leadership activity calendar and schedules appointments, conferences, and meetings
Manages correspondence to the center which includes coordinating responses on behalf of its Director and finalizes and generates correspondence as needed
Prepares high-level memoranda, letters and other documents, routes for approval, and tracks to completion for the leadership team
Reviews final responses related to patient issues, Congressional correspondence, and patient advocate issues
Serves as timekeeper to include notifying staff when there are timekeeping exception notices, and ensures corrections are made
Receives telephone calls, greets visitors, and determines nature of the call or business of the visitor. Determines which calls or visitors should be referred to the supervisor, or other staff personnel, or which can be handled personally based on knowledge of the subject matter or from records and files
Prints, copies, faxes, orders supplies, initiates work orders, and manages key requests and SharePoint requests
Manages office supplies by developing and managing inventory and adjust volumes based upon the usage rates and customer needs.
Performs other duties as assigned
Work Schedule: Monday - Friday, 7:00 am - 3:30 pm

Qualifications
To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 11/27/2024.
Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade.
Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.
In addition to Time-In-Grade Requirement, you may qualify based on your experience as described below:
Specialized Experience: You must have one (1) year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: performing clerical/administrative duties in an office environment; answering and directing phone calls; receiving visitors; preparing correspondence; maintaining files/records; and using a computer to perform a variety of support tasks; scheduling and managing a calendar of appointments. At this grade level, applicants should have good verbal and written communication skills and the ability to perform assignments independently with minimal oversight.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.
Physical Requirements: The work is primarily sedentary, requiring sitting, walking, standing, bending, and carrying light items, such as books, papers, and files. Long periods of typing will be required. No special physical demands are required to perform the work
