You will serve as a SECRETARY (OFFICE AUTOMATION) in the CODE 900A of PSNS and IMF.

Duties

You will maintain and control the Department Head’s calendars, advising them daily of appointments or conferences. You will obtain and provide background information on various subject matter and present information to supervisors prior to scheduled phone calls, visitors or meetings. You will establish priorities, schedules, reschedules, or refuse appointments without prior approval and must accept or decline invitations to meetings, using initiative and discretion. You will receive and screen visitors, phone calls and email from shipyard managers, NAVSEA officials, and military visitors for the Department Head, or other entities, referring them to other departmental staff members or other departments. You will review communication systems to develop standard phrases or form letters, which will be more effective in repetitive inquiries. You will perform liaison duties as necessary between the Department Head and their subordinates and other departmental personnel. You will be responsible for making arrangements for conferences, reserve space for the conference, and notifying each person who is to attend of the date, time and place as well as the subject matter. You will develop background information and compose drafts of introduction and briefs to be presented at various meetings by the Department Head. You will serve as the department’s principal subject matter expert and primary contact for all travel, to include overseas travel, and must possess an in-depth knowledge of the Defense Travel System (DTS). You will independently develop forms when studies are conducted or directives from higher authority indicate a need. You will be responsible for compiling and issuing various weekly, monthly and quarterly reports which cover a variety of subjects. You will screen all of the mail addressed to the Department Head, rerouting those items, which can be handled by divisions within the department. You will assign action dates to incoming correspondence, when applicable, maintaining a tickler system on actions assigned to or expected from subordinates, and serve as liaison between the office and personnel responsible for these actions. You will review documents prepared for signature of or requiring coordination by the Shipyard Commander for conformance with regulations, grammar, format and special policies of the command. You will establish and maintain files primarily for the use of the Department Head, including such material as correspondence and reports (filed by general subject). You will act as custodian of classified material on-file, which is directed to the Department Head.

  • You will be required to obtain and maintain an interim and/or final security clearance prior to entrance on duty. Failure to obtain and maintain the required level of clearance may result in the withdrawal of a job offer or removal.
  • You will be required to wear personal protective equipment such as helmets, gloves, coveralls, glasses, goggles, respirators and safety shoes continuously for the duration of the work shift.
  • Work is performed in areas where potentially harmful physical and chemical agents are present (e.g. fumes, dust, heat, ionizing and non-ionizing radiation and chemicals). You will be required to participate in medical surveillance programs.
  • This position may require travel from normal duty station to CONUS and OCONUS and may include remote or isolated sites. You must be able to travel on military and commercial aircraft for extended periods of time.
  • You may be required to perform site visits aboard ships in dry docks, pier side, or on the shop floor.
  • You must be able to lift and carry items such as supplies or manuals that may weigh up to 45 pounds up and down stairs.
  • Manual dexterity is required for operation of computer and other office equipment.
  • You may be exposed to inclement weather when going to and from work sites.
  • You will be required to successfully complete a correspondence course within six months of starting position.
  • You must be a qualified typist at 40 words per minute.
  • Stooping, kneeling, bending, and walking on stairs and uneven surfaces may be required.

Qualifications

This position requires the ability to type at least 40 words per minute. Your response to the typing skill question on the Occupational Questionnaire will be used in your qualification determination. GS-08: Your resume must demonstrate at least one year of specialized experience at or equivalent to the GS-07 grade level or pay band in the Federal service or equivalent experience in the private or public sector. Specialized experience must demonstrate the following: providing administrative support services by utilizing office automation systems. Examples may include developing information to prepare and review reports and correspondence, maintaining electronic calendars and filing systems, making travel arrangements, and managing timekeeping to accomplish the goals of the organization and assist higher level management, providing efficient and effective secretarial support. GS-07: Your resume must demonstrate at least one year of specialized experience at or equivalent to the GS-06 grade level or pay band in the Federal service or equivalent experience in the private or public sector. Specialized experience must demonstrate the following: providing office support services by utilizing office automation systems. Examples may include gathering data to prepare and review reports and correspondence, maintaining electronic calendars and filing systems, making travel arrangements, and managing timekeeping to accomplish the goals of the organization and provide efficient and effective clerical support. In lieu of specialized experience, you may qualify with the following education or combination of both education and experience:

GS-08: Successful completion of two full years of graduate level education that is directly related to the position being filled

A combination of experience and education as described above that equates to one year of experience. The percentage of the required education plus the percentage of the required experience equal one hundred percent.
