About the Position: Assists the Division Chief by performing a variety of clerical, administrative, and business duties and providing necessary coordination of the functions within the Division and other organizations.

Duties

Receives telephone calls and visitors, referring to staff members and forwarding to the supervisor only those calls or visitors requiring their attention. Personally, handles many requests for information based on information in the files and personal knowledge of program activities. Maintains calendar of supervisor's activities such as conferences, meetings, or other functions in which they are to participate, anticipating information and data needed, obtaining it and preparing in desired form Receive various telephone calls and relays information of a routine and non-technical nature in connection with supervisor's activities. Receives all mail and correspondence for the signature of the Division Chief. Reviews correspondence for proper staffing, grammar, punctuation, typographical errors, enclosures, and otherwise to assure mail is ready for signature. Receives personal mail addressed to the Division and Chief and obtains information necessary in preparing reply before presenting for review and/or signature. Coordinates documents, files, surveys, maintains records/files of various tasks, action, and other requirements. Acts as liaison between supervisor, subordinates, and counterparts in district by relaying messages and oral and written instructions.

Requirements

  • Appointment may be subject to a suitability or fitness determination, as determined by a completed background investigation.
  • This position requires the incumbent to possess and maintain a valid State Driver's License.
  • This position requires a typing proficiency of at least 40 words per minute (WPM).

Specialized Experience: One year of specialized experience which includes experience: (1) receiving visitors and telephone calls and determining the appropriate action; (2) preparing and reviewing correspondence for conformance with proper grammar, format, and special policies of the office such as letters, memorandums, reports, presentations; (3) creating travel arrangements for others (4) experience procuring inventory or equipment for a business and/or using a business credit card. All four must be WELL documented in resume to be referred to the selection panel. Time in Grade Requirement: Applicants who have held a General Schedule (GS) position within the last 52 weeks must have 52 weeks of Federal service at the next lower grade or equivalent (GS-06).
