This position serves as the only program support for the Education and Workforce Development Service, performing a wide variety of clerical, administrative and program support tasks associated with maintaining the various education programs/policies that comprise Education and Workforce Development.

Duties

Major duties include: Program administration and clerical needs of the Nurse Education Program, i.e. Basic Life Support/Advanced Cardiac Life Support Program (BLS/ACLS), Nurse Call, Safe Patient Handling Program, and the nursing educational needs for the El Paso VA. Responsible for the coordination of administrative duties for the Nurse Education Program in an effort to guarantee the primary goal of optimally ensuring the certification of all the BLS for Healthcare Providers, BLS for Heart Saver and Advanced Cardiac Life Support is obtained. Coordinates course for Basic Life Support (BLS) Certification; scheduling the classes, managing instructor and participant schedules, obtaining required supplies, and distributing required materials for the courses. Orders and maintains an adequate supply of training resources (e.g. space, textbooks, equipment and supplies) Responsibility for managing the Nursing & Patient Care Services Website, uploading documents and updating material on the internet. Responsible for recording committee minutes, ordering office/medical supplies, placing work orders, and assisting with filing and record-keeping. Serves as the initial point of contact via phone, or face to face encounter, using accepted, first-rate customer service techniques. Responsible for fostering and maintaining good public relations which requires a considerable amount of tact, diplomacy and a genuine concern for BLS instructors, veterans and VA staff and their problems. Receives phone calls and determines the nature of their needs, questions or complaints and answers questions, provides information, if appropriate or refers them to the Nurse Educator, or re-directs the call as needed. Organizes and coordinates obtaining education material for in-servicing employees. Monitors resource levels of all office supplies and utilizes them prudently. Attends staff meetings, prepares meeting agendas, reports, and minutes. Utilizes the TMS system as a Tracking System to ensure that all employees who are required to be BLS, Heart Saver, or ACLS certified are up to date. Assists with responsibility for serving on various committees and performing other administrative duties, such as recordkeeping, filing, tracking, data gathering, coordination, and documentation in support of and in an effort to extend the ability of the Nurse Educational Program. Will use Microsoft Word, Excel, PowerPoint and Outlook to coordinate and schedule certification courses, other nurse education activities/programs, and meetings. Edits and composes letters and reports for the nurse education program. Processes incoming and outgoing material. Researches medical references and retrieves appropriate information. Work Schedule: Tuesday, Thursday and every other Friday, 8:00am - 4:45pm Position Description Title/PD#: Program Support Assistant (OA)/PD80132O Physical Requirements: The work is sedentary. Some work may require movement between offices, hospitals, warehouses, and similar areas for meetings and to conduct work. Work may also require walking/standing, in conjunctions with travel to and attendance at meetings and/or conferences away from the work site. Incumbent may carry and lift light items weighing less than 15 pounds.

Qualifications

To qualify for this position, applicants must meet all requirements by the closing date of this announcement. GS-05 grade level: One year of specialized experience (equivalent to the GS-04 grade level in the federal service); experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) and other characteristics to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Specialized experience includes: Exercises good judgement and makes sound decisions; understanding of medical center policies and procedures; knowledge of office procedures, filing system, various references and handbooks; knowledge of personal computer equipment, printers, and software; proficient in Microsoft Word, Excel, PowerPoint and Outlook; Transmits, receives and acknowledges electronic mail; knowledge of recordkeeping and documentation of minutes; qualified typist; knowledge of medical terminology; knowledgeable in setting up conference meetings. OR, Education: Applicants may substitute education for the required experience. To qualify based on education for this grade level you must have (4) full years of education above high school. (TRANSCRIPTS REQUIRED) OR, Combination: Applicants may also combine education and experience to qualify at this level. You must have any combination of specialized experience and education beyond the first 60 semester hours (i.e., beyond the second year). One full academic year of study (30 semester hours) beyond the second year is equivalent to 6 months of specialized experience. (TRANSCRIPTS REQUIRED). Proficiency Requirements: In addition to meeting experience or education requirements, applicants for these positions must show possession of the following skills, as appropriate. Applicants may meet these requirements by passing the appropriate performance test, presenting a certificate of proficiency from a school or other organization authorized to issue such certificates by the Office of Personnel Management local office, or by self-certifying their proficiency. Performance test results and certificates of proficiency are acceptable for 3 years. Agencies may verify proficiency skills of self-certified applicants by administering the appropriate performance test.40 words per minute typing speed Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
